On analysing and planning of this coursework, I planned how to document the report completely and
help for teachers, professionals and researchers. I great thank to all teacher in our B.Sc. programme

EXECUTIVE SUMMARY The Reguero-Almandeel-Puorhit (RAP) is a rapidly expanding estate agency and taking service of
buying and selling houses for clients with business partnerships. The company wants upgrade the
current manual system to a new online computerised system for greater benefits and profits for both
clients and the company.
When changing the new project, the company need to develop the system with the rule of SDLC and
identify and analyse the whole development for profits and losses. There is a major system in business
IT planning and the consultant need to discuss with administrative officers for identification of
requirements. There may be disaster problems and the consultant need to consider about these cases
for profits of the company.

COURSEWORK INTRODUCTION Reguero-Almandeel-Puorhit (RAP) system is a rapidly expanding estate agency with many branch
offices for selling and marketing of houses with business partnerships such as local solicitors and well
established banks to make easier for clients in selling and buying processes. The company commercial
director wants to be more popular their business on every parts of the country to set more branch
offices for all clients to buy and paid as normal rate to easily with cost saving with their buying
properties sold off at auction.
The RAP company is considering a new online based computerised business system called “Business
Improvement Project” (BIP) to connect and use easily on the selling and marketing of houses to
carried out by the branch offices and hope this will become a premiere estate agency.
The company has weakness in technology and their use of servicing information are outdated or not
suitable for public use such as noting in a diary book. Potential vendors come to office or phone to
make appointment to contact with sale person to visit the property area and this event is noted in sale
person’s diary. After visiting with description of property, photographs and summary descriptions are
used in newspaper advertisements.
The advert clerk is to compile the list of properties from the summary report details to list monthly
property to all applicants. Each branch managers make the report from the sale log book at once per
month to show the sale commission due on each sale person. All reports are sent to head office and
details are recorded into the payroll package. Agent vendors can now charge for adverbs of their
properties.
On focusing the development of new system, the RAP system need to think about the evaluation
methods to improve the new process and identify the functional scopes and requirements. There need
to talk about with commercial director for business plan as the commercial director is working with
high-level tasks and serve for overseeing of whole development system. And also the sale manager
and financial manager are also need to discuss for market area and budget plans. On changing of new
system, there also need to think about organisational changes and disaster damages.

STRATEGIC EVLUATION By analysing with SWOT, identification of Strengths and Weakness are internal things that RAP
business system have some control over. And also identification of Opportunities and Threats are
outside of the direct ability control of the RAP business system that are external.
STRENGTHS
Overall nationwide market area: the RAP market area has already reached in expanded
level with many customers and business partnerships of local solicitors and banks.
Powerful staffs and admins: the RAP system has powerful amount of administrative staff,
managers, branches, sale force, sale persons, and advert clerk to develop new online project.
Premium customers: the current process of RAP business already has premium customers
and supported the system for 100% trust.
WEAKNESS
Four stand-alone PC based system: the current business process runs on 4 PCs at the head
office and using this process is slow in report generating process, other branch offices may
difficult to view their report, lager, and other requirement.
Noted in diary book: Vendors phone or come to office to take appointment to visit sale
property area and these activity events are noted in sales person’s diary. Using this method is
sometimes not suitable to use or if the sales person misses the event, someone or something
notification system need to take appointment for clients.
OPPORTUNITIES
Effective system: using online computerised system RAP development project will helpful
and effective in following business process for both clients and staffs.
(1): Easy to search with required types such as environmental situation, price, environment as
custom set by the clients.
(2): Easy to view online date, send report, charge from all branch offices.
(3): Generate and retrieve all report types correctly with definite computerised data.
(4): Online service makes all users to use everywhere and anytime.
Fast computing process: the computerised system makes easy and effective for both staff
and customers.
No human faults: if the manual system of taking notes in the private book, generating
reports submitted with some wrong tips or human faults, there may be lack of data or some
otherwise there may be financial problems. Using computerised data makes with no human
faults and other mistakes for all processes except mechanical errors.

Fast and effective retrieving of data: computing process makes the RAP system more
quickly and effective on data retrieving of ledger packages, payroll packages and financial
systems.
Comfortable for clients (user friendly): customers can view all information of house, places
and areas via online at home without coming to office.
Makes the larger market area: using online service expand the market area in all over the
places and this makes the RAP to become the premier estate agency.
THREATS
Other business market areas: there are many other business markets as the RAP company
and they can be rivals in business process of expanding market areas.
Disaster problems: there may be IT disaster and environmental/natural disaster problems in
the business process and so the RAP system need to place the recovery plans.
Unfavourable exchange rate: rapid increase or decrease of exchange rates can cause
financial problems.
Staff leaving: there can be lack of staff or service providers by unconsidered cause such as
political, environmental, economic and social problems.
Payment methods: there may be other forms of payments such as different currency, online
payment methods and purchase types.
Lack of user friendly: introduction of new technology can have some weakness or less of
user friendly for old persons and some people on both staff and users.

IMPACT OF INFORMATION SYSTEM
Major system and functional requirements The RAP development project is changed to computerised system for the registration of new houses
and areas, the list of applicants, the calculation and generating sales commissions and financial reports,
and other business needs to be complete quickly and easy. To change the new process, the system
need to outsource.
The RAP business system is the Management Information Systems (MIS) and used for the internal
sources of information gathered by transaction processing system. These are used for middle
management by summarising management reports. Some of the RAP management system include
market research, staff performance and budgeting.
Functional requirements on changing the computerised system:
(1): Database: the online computerised system need to record all information of properties, detailed
information, market technical data, advertisements posters, staffs, admins, clients account data,
financial data and report data in a database and stored in a secure place. The database maintenance
and backup system need to take for security reasons.
(2): Authentication: the access control level for staffs, vendors and clients need to be validated with
authentication system such as username and password. There are many types of encryption methods
(commonly md5 and SHA1) used for password, the most common mean of authentication with no

special hardware. Customer enters an email and password to login the system, and the system looks
the email address and decrypt the hashed password and process to find in selected database table. If
all inputs are true and the user exists, the system allow the user and provide access.

(3): Vulnerability: a security vulnerability is a flaw or weakness in network or system that allows
attack from some way and so the new online agency web system need to have vulnerability scanner to
be used in penetration test.
(4): Backup and restore: for a business online website, the important data need to take back up by
the data usage such as weekly, monthly and take place in secure place or offsite to prevent from
outside attackers.
(5): Reliability: reliability is the property that the website will be able to process all work correctly
and completely without being bored.
(6): Registration: the RAP new online system need to register the various properties information,
contact information, staff, customer accounts, advertisements data, payment and other additional logs
in database for online computerised system.

(7): User manual: to show and guide users how to set up and use the website easy and understand
the system, searching properties, take appointment, and all detailed use of system to users.
(8): Searching methods: the estate agency website has all registered properties with detailed
information and all user can search the properties with various searching types such as by division or
state, price limit, natural environment and areas.
(9): Fast report: all user activities, appointment information, vendors, payments and properties
details need to keep recorded in database for generating additional reports to head office with data and
time stamps, location and access signatures.
(10): A way for people to upload their own properties: vendors can upload new estate properties
with detailed specification and contact information. When the clients want to buy the uploaded place,
the system can give service for appointment, pick-up service and other contact information.

Identification of requirements with general discussion Commercial Director - Commercial director is working with high-level tasks and serve for
overseeing the whole project, identify and analysis SWOT for system opportunities and such market
operations of RAP estate company. So I (the consultant) planned to meet with the commercial director
for the above reason. In the meeting, I questioned the commercial director of the RAP company with
followings:
Expected time and money: the RAP company has already expanded in country and trying to
improve larger business area with the development of online computing system. For about this, the
consultant asked about the income and outcome percentage of budget between designed timebox
range for greater profit to commercial director.
Competitors: the consultant asked commercial director that what the company planned to do better
than competitors. There are other estate agencies as the RAP and they care rival in market areas with
RAP and they also extend their market areas on the whole nationwide business. So the consultant and
commercial director discussed about the plans to prepare for this business competitions by making
more expanded area, greater area, better services, promotions or good customer care to get customer
trust.
Current system: consultant asked about the important thing, the background of current system to
advice that the current technology use of business is too weak and need to think about update
technical computing and the important point to remember is that some users are not from technical
environment and thy may be fail to understand the new system.
Sales Director - Sales director sells products by implementing sales plans; supervising the sale
managers from branch offices. Sale director need to think about the properties sale goals, selling to
customer needs, sale plans, managing process and staffing. The conversation with sales director are as
follows;
Staff workforce: the consultant asked about the staff workforce for new business to sales director as
the staffs are the essential supports for this new and discuss about that they need training for safety
management.
Customers: the consultant noted that there are potential and premium customer the company and so
asked for plans about advertisements and promotions with regional and online advertisements for
more user attraction, for more offer and get sell or buy properties. The system need to note for
premium customers to still offer and get more attractive on new system.

Financial Director – financial director serves for financial health of the RAP company combining
with operational and strategic roles, accounting, and establish a financial strategy for the portable
long-term growth for business. Here are general conversations with financial director of the RAP
company;
Budget plan: the consultant asked the financial manager to think about the budget amount of this new
project and discuss about income, outcome and profits. There need to think and discuss about the
greater goals, the business need to have enough budget and resources or either the ROI (Return On
Investment) is worth, or it isn’t, the best way to make is adjust the expectations as needed.
Capital markets: In today business improvement, capital market plans are need to know by the
financial manager to understand clearly. Therefore, the consultant asked about the trades on stock
market areas and some common risks from that areas with financial manager and discussed about the
risks in this trading of shares and debentures.
Supervisor – supervisor is the person who understands how the business is working and the task is to
help to guide the system while always keeping the final outcome in mind.
Target: the target point of this new Business Improvement Project need to think t reach expected
profits. For this case, the consultant asked the supervisor what are the needs of customers and what
they want from this new project and how they can get benefits from new project.
Future plans: the target plans are need to think for future development and consultant asked for the
things that the company need to do next and discuss about future process such as improvements and
managements, update information to get profits for both company and customers.

Organisational changes The RAP company is the rapidly expanding estate and planned to update the system from manual to
computerised online system. There are many organisation changes occur in RAP company when
transition from its current process to online. Managing organisational change is planning and
implementing process to minimize employee resistance and cost on maximize effectiveness.
The first priority for changes in organisation is staff because they are important part of the system and
the system cannot run or service without staffs. All staffs need staff training with a private technical
team or group before the new development starts to use the system easy and no mistake. Admin staffs
need to train about report generating process, ledgers and payroll managements, spreadsheets.
Adverts clerks are also need to train about the new advertisements process and train how to advertise
in online marketing websites and popular social medias such as Facebook, twitter and need reply and
contact information message for customer satisfaction.
Transforming the new is sometimes hardest to clients who are away from technological area or
environments or old persons because they know not much about the online based system (website)
and the process of online payments and bookings. These clients are needed training for development
of new system and talk, present and demonstrate how to use this online system.
Transforming change is often hardest to achieve because it requires staff to change aspects of who
they are and it also need leaders. Organisational changes typically move through such phases;
Project planning: identifying the changes required in new development of RAP system to
achieve the benefits.
Business case: developing and testing new process for benefits and potential costs.
Change of activity: implementing actions to help employee and stakeholders move from
manual to online.
Benefits realisation: realising the benefits and profits in new process.

IT disaster recovery The RAP estate agency company need to IT disaster recovery plan for restoration of data and
programs to protect from disaster damages when all services are damaged by unconsidered events or
cases such as natural damages, earthquakes, fire or and IT disaster cases.
The RAP company need to backup all important data of houses, compounds and business areas, users
account data, buying and selling activities, payment information, such are import to take backup for
disaster recovery. With the important database backups, others need of company information such as
analysis plans, important word processes documents, and other important company files are need to
take backup.
The RAP system need to take backup servers and centres at the most commercial city and need to
generate the backup data from main server weekly. Monthly or yearly. This method is called hot site
and used much costs but it is secure and insurance for both customers and company.
For the important databases files, the system need to take automatic or manual backup system. Parts
of backup facilities are included in enterprise DBMS for automatic backup of data. The backup of
database and company files need to store in some other secure place or branch office, and the backup
data need to be stored securely at data safe place or offsite.
Explanation of some other disaster damages;
Weather: If the system is damaged by storm, earthquake, flood and such others, the backup data from
the other branch office need to take restore for loss of data. The backup files need to take from the
branch offices based at the commercial cities and the online backup of manual backup plan is needed
to use to restore loss data.
Network connection system: If the communication between head office and other branch offices are
cut down by an attacker or virus, the system need to take vulnerability assessment and take backup or
restore if needed. Vulnerability scanner needs to focus on weakness of network system by network
engineers.

Fire: The RAP head office and branches need to have fire alarm systems to protect from damages of
staff, software and hardware equipment and important document files. If fire area is huge or cannot
extinguish with fire extinguishers, staff or security assistants need to call fire brigade centre
immediately.
Lack of electricity: Electricity is the main important thing to run all servers and business process and
if the electricity goes out or break down, the system need to have automatic power supply systems.
Electric engineers need to check the company’s electric systems.
The disaster recovery plans are expensive and difficult to manage from central control but they are
necessary for important data and information of RAP company.
