Job Duties
Alicia K Designs is a San Francisco based event planning and design production company looking for event and design production interns for our 2015 season.
We are looking for enthusiastic, motivated and detail-orientated interns who will are interested in the event/wedding planning industry. You will be exposed at working at both our San Francisco office and venues throughout the Bay Area and Northern California.
Your duties include, but are not limited to:
- Design, and produce custom signage, stationary and craft items needed for per event.
- Clean and organize props and rentals in warehouse before and after events
- Being available to work on event days during the weekends.
- Work on various office projects needed for day-to- day operations
- Assist with Pinterest, and other social media platforms
- Shadow AKD’ s coordinators throughout the planning process for clients
We’ re looking for someone who is proficient using Microsoft Office (Word, Excel, PowerPoint, etc.). Knowledge of Adobe Suite (Illustrator, InDesign, etc.) and Wordpress is highly valued. As we are in the event industry, a creative eye is a must as well as one who enjoys working with others.
This internship is unpaid and we are flexible based upon availability. We are open to interns who need school credit-and our times and hours are flexible depending on availability.

We plan social events (primarily weddings) for clients year round, in Northern California and destination events. We also design, and produce events- and have a full time floral designer who leads the floral design portion of the business. In addition, the company has a warehouse connected to the studio space, which houses specialty rental goods that are used for events, or rented out to other companies.
The company has 5 full time employees- and can have anywhere from 8-12 employees working come event season.

Liakos Wedding Saturday May 30th, 2015
I worked my first wedding on Saturday, May 30th and I worked
the reception set up and strike down, as well as a short period of the after party. I was given a production schedule, which stated where I needed to be and what I would be assisting with. The production schedule indicated that I was to arrive at Sens Restaurant, the reception restaurant, at 2 PM and that was when set up was scheduled to begin. However, the van that was supposed to be arriving with all of the décor and flower arrangements broke down and they could not get the car to begin again. In this mean time, I entered the restaurant and assisted with setup and directed which linens were to go on which tables and made executive decisions during the set up, since the coordinator and florists were not present. After the coordinator and florists arrived, we discovered that the service elevators were not in service on the weekends so I had to find the security department and talk to them about granting access to the elevator. After this whole experience of chaos, we began a quick set-up that was frantic but effective. The rest of the reception went very smoothly and the guests seemed to enjoy themselves. I learned a lot from this experience because I felt that I was able to handle the difficult situations that arose, especially being the only employee from Alicia K Designs present at the venue. It was also satisfying to see some of the signage that I created and had an opinion on; come to life and to be displayed. Although I already knew that anything can change and that the wedding industry relied heavily on dealing with changes and thinking quickly on your feet, the reception proved that to be truer.

This is the layout of the Sens restaurant. This was taped to the front desk area during set-up and this is what I went off of when directing where tables went and which linens went on which table. Layouts are one of the documents that are included in the packs that we create and wear on our waists for easy reference during the event. The elevator to access the restaurant was on the direct opposite side of the building. The loading zone was three floors below the restaurant ultimately making it extremely difficult to transfer all of the décor and floral arrangements in a timely manner.

Overview
The wedding took place at Long Meadow Ranch, near Napa Valley. The coordination package that the Akin couple chose was the month-of coordination package. This means that she was only permitted a certain amount of calls with the coordinator and the design coordinator and the services we offered were focused around making sure the day-of ran as smoothly as possible. We arrived to the venue at 2 PM, which is where the bridesmaids and bride were getting ready in bridal suite.
The list of vendors that were used during the wedding, that we had to coordinate with include the cake, catering, florist, hair & makeup, design & décor, Music (Ceremony & Reception), Officiant, Photography, Rentals, and Videographer. The photographer seemed especially difficult to deal with because he seemed to lack experience. He did not seem prepared, and as the lead coordinators we had to assist him to ensure that things went smoothly. We had in our document binder, the list of portraits that needed to be taken, so I was working alongside the groom’ s sister to gather all of the family members that were needed for the picture. The photographer also did not take into account that the wedding would be ending when the sun would be going down, so I assisted him to find a space that had adequate lighting.
Another problem that we encountered before the wedding was the unexpected amounts of wind. Approximately ten minutes before the ceremony was supposed to start, the large arrangement on the alter was blown over and shattered all over the alter. Hazel, the lead coordinator, had other jobs that she was handling so I was the one who dealt with this catastrophe. I worked alongside with a catering manager and we found another vase and arranged the floral arrangements in a matter of minutes. We then taped the arrangement down to barrel on the alter and hoped for the best. We also made the executive decision to remove the umbrellas to prevent any injury that could be caused from falling over.

The ceremony space was also being used for the reception
space, which meant we had limited time to flip the area. After the ceremony, the guests were escorted to the cocktail area and the venue and catering staff already had all of the tables prepped with linens and glassware. They carefully placed each table and I went around with place cards and table numbers. This served to be more difficult than anticipated because the day of the wedding there were adjustments to the seating chart. One guest could not attend and another guest was bringing an unexpected guest. This meant that all of the guests needed to be moved down one seat so the guest who brought an unexpected plus one could be placed next to each other.
Since the pictures took longer than anticipated, the whole production schedule had to be pushed back. This served as a potential problem because some of the vendors were only paid and reserved to a certain time. The cellist and violist were only booked to play during the ceremony and dinner. The speeches also took longer than expected. This just meant that the cake cutting had to be shortened so that the band could get a full set list in for the dancing portion of the evening.
Guests also started to get a little chilly throughout the evening and Alicia K Designs provided white blankets to guests who wanted them. These seemed to be a big hit with the guest and the bride was ultimately very happy that we had planned for such occasion. AKD also had parasol umbrellas for guests during the ceremony since there was only draping over the alter and the cocktail area. The guests seemed very happy for the entirety of the night and there weren’ t any mistakes that couldn’ t be fixed.

This was the seating chart that was attached to our mini packs to use for reference. It turned out to be extremely helpful even with the last minute seat arrangements. We had a limited amount of time to flip the ceremony space into the reception space ,which is when this served the most purpose.

hazard for the guests.
I arranged this bar area and designed the signage that is displayed. The “Love” sign was glued and taped to the linen because of the wind.

I worked closely with the catering staff to create the tabletops. The florists had already arranged all of the centerpieces on the pre-set table but I still had to place all of the place cards. There were also day-of seating changes, which I had to rearrange.
This was the reception area with the overhead lighting that the venue provided. I worked closely to dim the lights to a desirable level for the guests. I also went around handing out blankets because once the sun went down, guests started to get chilly.

Simidjian Wedding July 18, 2015
Overview During the preparation of this wedding I had real concern for how the day would go. The bride was the most difficult bride that I had ever worked with and that made me nervous thinking about day-of activities based on her low tolerance for mistakes and “things going wrong.” I had worked on all of her signage and during the course of that time I had received several emails and phone calls with corrections for the signage that were minimal changes. There reached a point in the drafting and editing process where my co-workers had to step in and tell the bride that she had reached her maximum revision count because my time was no longer being spent productively. However, after all of this high anxiety build up, she was very low maintenance and very few things went wrong the day of. We arrived at the Swedenborgian Church the day before the wedding to ensure that all of the rental companies were setting up properly and all of our outsourced props were accounted for. Thankfully, everything was accounted for and we loaded some of our own props into the area to create an easier transition for the next day. Set-up was going extremely well besides the wine blowing the stick wax candles. We had realized we had purchased the wrong type of wax candles when they started to drip. We had to monitor the candles the whole night because this was ultimately our error and linen companies charge large fees for wax stains. I found this experience to be extremely useful and something that can be used later on at different events. This wedding was different in the layout of events. The reception was taking place first followed by a nighttime ceremony.

This was an escort arrangement that I was responsible for creating. Alicia K Designs provided the greenery and all of the escort cards are tied with burlap string, matching the napkins at the reception.
These were hand-made olive oil favors. I was responsible for the signage attached and arranging the display at the event.

HERSON WEDDING
AUGUST 8, 2015
OVERVIEW
The wedding took place in a small town outside of San Francisco.
Tiburon is a small town and all of the hotels, and venues were near one
another. I served as the lead hospitality coordinator for this event. This
meant that I was the first one to arrive to the scene and check in with
the bride. I ensured that everything was going according to plan and
that the bride did not get behind schedule. I also created a
communication channel with the transportation buses to ensure that
everything was going well on their end as well. I felt that this was a
good way to end my internship because I was expected to
communicate between many different vendors as well of the rest of the
AK team.
I also found working so closely with the bride to be useful
because I got to experience close client interaction and learn how to
enforce a strict timeline when needed. I also played a large role in the
design aspect of this wedding. Since this was my last wedding, I had a
lot of previous knowledge because I had been there long enough to
learn different details about this wedding. Overall I felt that I was the
most prepared for this wedding and I held more responsibility than I
had ever held before.

I placed all of the place cards, which were made of sea glass. This was a very tedious task and required extreme focus and multiple checks.
I placed all of the place cards, which were made of sea glass. This was a very tedious task and required extreme focus and multiple checks.
This was the escort display that I created. I nailed all of the strings to the frames and used gold wax for the fleur de lis seals on each place card. I then arranged them and used small pins to attach them to the stringed frames.

This was the reception venue that I played a large role in setting up. The venue was so large and we were running short on time that everyone seemed to be doing multiple tasks at once.
I assisted in stringing these flowers to be used as the ceremony backdrop. We used needle and thread and threaded every individual flower. It was a long and tedious project, but has a beautiful outcome.

The page listed previously is an example of one of the contract
attachments that is sent to clients. For confidentiality reasons, the entire contract is not included. I worked closely with contracts and recording their tracking. I created a Lead Sheet that was used to track sales and to track how Alicia K Designs is best earning their business. I also did alterations to different clients to make it specific for their event.
The following page is the poster that I was responsible for

This was a project that I was responsible for. It is a wedding favor
that was requested specifically by a client. I was responsible for reaching out to multiple vendors and conducting a price comparison. I then relayed the best prices and quality brands that created the bourbon board with custom design. This project turned out to be around 3 weeks long.
I played a large role in many research projects whether it was
regarding a certain venue, item, or service. I often conducted price comparisons and reached out to different companies with different inquiries. I believed this to increase my professionalism in my email and phone call introductions.
I also was responsible for scheduling room blocks and talking
with hotel sales team to lower different room rates. The last room block I was responsible for scheduling is included following this page.

CONCLUSION
This internship has been informative and eye opening. I have
learned that I want to venture into different types of events and I do not want to work exclusively in the wedding industry. I learned how to serve a role in a professional world and I learned how to be productive in an office workspace for long amounts of time. I have also learned how to create communication channels and how to communicate in the most effective manner. I feel that I have learned how to create professional relationships and how to work closely on projects with other co-workers. Alicia K Designs taught me how to split projects and how to delegate other projects to other teammates. I believe that Alicia K Design’ s business strategy definitely has their strengths and weaknesses but they are an overall successful business and treat all of their employees with respect.
