    1. Introduction This handbook is to provide guidance to schools on how to submit SBA Mark Data File, Student Work, and Teacher Document through the HKDSE Examination Online Services (Online Services). The S6 mark submission procedures are similar to the S5 procedures. For details, teachers may refer to the 2012 Hong Kong Diploma of Secondary Education Examination School-based Assessment System (SBAS) User Manual (User Manual) published in April 2011. Further information could be found through the Online Services at http://www.hkdse.hkeaa.edu.hk . Subject panel should submit the Mark Data File to the principal for endorsement in advance, as the Mark Data File, Student Work, and Teacher Document all share the same submission deadline. If the subject panel only submits the Mark Data File to the principal for endorsement on the last day, he/she may not have sufficient time to submit other files on the same day. Note: Compared with the 2012 HKDSE Examination, some changes are made to the submission requirements/procedures in the 2013 Examination. They are highlighted in this Handbook for teachers easy reference.

    3. Requirements and Schedule of S6 Submissions The following table shows the S6 submission requirements and submission period for individual subjects in the 2013 HKDSE Examination. Please pay special attention to the highlighted parts and the notes on page 6 for updates about the 2013 submission requirements.

    Six video clips for Part A and six video clips for Part B of the SBA are to be submitted. For each Part, the six sets should consist of two high, two medium and two low levels of performance, to be chosen by the school. Assessment records of the students whose samples are chosen for submission.

    Notes: 1. Detailed requirements and procedures of the submissions will be provided to teachers at the SBA conferences held between October and November 2012. 2. Starting from the 2013 Examination, schools need NOT submit the Student List for SBA Work Submission (Student List) to the HKEAA. 3. Liberal Studies: In addition to the Task samples, a set of the following Teacher Documents (one single file per school) related to the Process assessment of the

    Independent Enquiry Study (IES) are to be uploaded to the HKDSE Online Services: (1) The IES assessment plan of the Product Stage (2) One Process assessment activity for the Product Stage including

    (a) the design of the activity (e.g. graphic organizer/worksheet); (b) rubrics for that activity; and (c) two samples of students performance in that activity, one from each of high and low levels of performance, with the marks (or levels of performance) indicated,

    chosen by the school. 4. Visual Arts: The file size for each students work file should not exceed 20 Mb. 5. Biology: Schools are NOT required to submit biological drawings to HKEAA. 6. Combined Science (Biology): School presenting candidates for the first time will receive the HKDSE Online Services Subject Panel account in early November 2012. 7. Chinese Language: Starting from the 2013 Examination, schools only need to submit student work on any ONE of the two elective modules with marks submitted.

    Moreover, the Assessment Plan Form and Marking Criteria of the submitted student work should be uploaded as a single file of Teacher Documents to the HKDSE Online Services, i.e. DO NOT submit this as part of the student work files. 2013

    8. English Language: A set of pre-printed labels for CD/DVD and an envelope cover will be provided to schools in early December 2012 to facilitate the submission of student work samples.

    4. Promoting Classes At the beginning of S6, teachers are required to use the same software in which the S5 mark has been entered to promote the class before entering the S6 marks. This section outlines the steps for promoting classes.

    Step 3 Please refer to Section 5 of the User Manual to manage teaching group(s) and enter marks of S6 students.

    Notes: 1. S6 class must begin with 6.

    2. Assign transfer/switch student, if needed, after promote class.

    Transfer students are S6 students sitting the examination for the first time, but who have transferred from one school to another after S5.

    Switching of courses is only applicable to Science Subjects. Please refer to the respective School-based Assessment Teachers Handbook.

    3. Select language medium for students after promote class. (Only applicable to bilingual subjects)

    Language medium means the medium used by the student in completing his/her SBA work.

    For batch input of language medium, copy the respective column from the SBA Software and paste it to an excel file. Then batch input the language medium in the excel column. (C denotes Chinese; E denotes English.) Lastly, copy the excel column and paste onto the respective column of the SBA Software.

    5. Entering SBA Marks 5.1 Creating Teaching Group(s) and Entering SBA Marks

    (Subject Teacher) Please refer to Section 5 of the User Manual, page 20. In entering students information, please be reminded to declare if a particular student is a relative of a teacher who has assessed the SBA work of this student. The declaration records will be shown in the Mark Summary Sheet. Apart from the provision of the declaration records to the HKEAA, schools leaders are also reminded to establish an internal system for directing teachers to make a formal declaration of conflict of interest at the beginning of the school year in regard to their personal relationship with the students they teach (if any), and to take appropriate actions to mitigate the declared conflict, e.g. redeployment of teachers to avoid their conducting the assessments for the student(s) concerned, where applicable.

    5.2 Consolidating SBA Marks and Exporting Mark Data File (Subject Panel)

    Please refer to Section 6 of the User Manual, page 68.

    6. Submitting Mark Data File (ALL Subjects) Note: This version is adapted from Section 6.7 of the User Manual. Changes are shaded for teachers easy reference. The procedures are similar to those performed in the S5 submissions. This section outlines the steps to upload mark data files to the Online Services for the Principal to endorse. Subject Panel and teachers are advised to ensure the accuracy of the marks before performing the uploading procedures. Step 1 a. From the School-based Assessment menu, select Submit SBA Files.

    b. The following page will be displayed. Click the Upload button.

    Step 2 Uploading the mark data file

    a. Select the Mark Data File option. b. Click on the Browse button. c. In the pop-up window, specify the file location and click on the Open button. d. The Subject Panel can type a message in the Description column about the submission for the reference

    of the Principal (optional). e. Click on the Upload button. The file will then be uploaded for the Principal to endorse.

    The file is displayed in the list awaiting the Principals endorsement as below.

    f. A notification email will be sent to the Principal automatically informing him/her that a file is awaiting

    his/her endorsement. A template of the email is shown below: SBA Marks Review Notification

    Step 3 To view the mark data file that has been uploaded in order to check whether everything is in good order:

    a. Click on the file.

    b. The Mark Summary Sheet in PDF format will then be displayed.

    If the Principal requires the Subject Panel to re-submit the file for any reason, the Subject Panel should perform Step 4 as shown below:

    Step 4 The mark data file rejected by the Principal will be listed in the Workflow area.

    The Subject Panel should follow up the issue with the teachers involved. After that, the Subject Panel should export a new mark data file using the SBA Software. By default, the new file exported by the software will automatically bear the same name as the one before.

    To upload the new mark data file on Online Services, the Subject Panel should perform steps 2a to 2e in this section. If the file with the same name already exists, the following dialog box will be displayed. Then click Replace to confirm the file replacement.

    7. Student List for SBA Work Submission (Submission required ONLY when schools request for a change of student(s) for work submission)

    The Student List shows the information of the students selected by the System for work submission (except for the subject of English Language). For English Language, the students are to be selected by the Subject Panel. For details, Subject Panels for English Language may refer to Section 6.3 on page 72 of the User Manual. A sample of a list is attached below.

    If the Student Work is in good order, there is NO need for the Subject Panel to submit the Student List to the HKEAA.

    Request for a change of student(s) for work submission If the work of any chosen student cannot be located, or involves any irregularities (such as mark penalty being

    imposed due to plagiarism or late submission), the Subject Panel should contact the SBA Team of the HKEAA to request for a change of student(s) for work submission.

    The Subject Panel will be requested to generate the Student List and fax it to the HKEAA. The Subject Panel may generate the Student List by selecting Reports and Charts > Student List for SBA Work Submission in the menu of the SBA Software.

    After confirming the arrangement, the HKEAA will fax an amended version of the Student List to the school for schools record.

    8. Submitting Student Work 8.1 Submission of Student Work (by Subject Panel)

    Notes: 1. Please note that the Subject Panel should submit Student Work only after the principal has endorsed

    the Mark Data File. 2. Online endorsement of submission of Student Work by the Principal is NOT required. 3. Please refer to Pages 4 6 for detailed requirements of the kind of Student Work to be submitted for individual subjects.

    8.2 Submission through Online Services (only for Liberal Studies, History, Visual Arts, Biology, Chemistry, Physics, Combined Science, Chinese History, Information and Communication Technology, Integrated Science and Chinese Language)

    This section outlines the steps for uploading student work to the Online Services. Notes: 1. To facilitate an effective and accurate identification of the work, the work of an individual student in a certain subject

    should be submitted as a single file. In case the work of a student contains more than one file, they should be zipped into one single file. Please note that if the work of a student contains only one file, there is no need to perform the zipping procedure. The system can accept files of any common extensions such as .doc and .pdf.

    2. The file size for each students work file should be not more than 10Mb. (Note: For Visual Arts and Information and Communication Technology, the file size for each students work file should not exceed 20 Mb and 15 Mb respectively.) Please refer to the Appendix in Section 11 Useful Tips for Handling Student Work Files for some useful guidance in handling the files.

    3. Student Work file name convention: [Subject Abbreviation] [ ( 6-digit Student Document Number)].[File extension], e.g. CLANG(123456).zip. Please refer to the Appendix in Section 10 File Naming Convention. The Student Document Number is the reference number of each individual student as shown in the Mark Summary Sheet. In fact, it comes from the beginning six digits of the identity document of a student. For example, if the HKID number of a student is K362880(1), the document number of him/her is then 362880.

    4. The System can at most store 6 Student Work files for each subject. Step 1 a. From the School-based Assessment menu, select Submit SBA Files.

    Step 3 To view the student work that has been uploaded in order to check whether everything is in good order.

    a. Click on the other SBA Files (if any) folder.

    b. The uploaded file will then be displayed. You may click on the filename to view the details.

    Note: You may click on the cross to remove the uploaded file. A message Do you want to delete [Filename]? will be displayed. Then click on the Delete button to confirm.

    8.3 Submission of Student Work to the HKEAA Office (only for English Language)

    All Student Work should be submitted in the form of CD/DVD. Teachers should record the student work of all the chosen students on a single CD/DVD.

    Please put the CD/DVD into an envelope. A set of pre-printed label and envelope cover will be provided by the HKEAA in December 2012. Please affix the label on the CD/DVD, and affix the cover on the envelope to be submitted for tracking purposes.

    To facilitate an effective and accurate identification of the work, the work of an individual student should be submitted as a single file. In case the work for a student contains more than one file, they should be zipped into one single file. Please note that if the work for a student contains only one file, there is no need to perform the zipping procedure. The HKEAA can accept files of any common extensions such as .doc, .mpeg and .pdf.

    Student Work file name convention: [Subject Abbreviation] [(6-digit Student Document Number)].[File extension], e.g. ELANG (345622).mpg . Please refer to Appendix 10 File Naming Convention. The Student Document Number is the reference number of each individual student as shown in the Mark Summary Sheet. In fact, it comes from the beginning six digits of the identity document of a student. For example, if the HKID number of a student is K362880(1), the document number of him/her will then be 362880.

    There should be two folders, entitled Part A and Part B, on the CD/DVD. Each folder should include Student Work of six students and their assessment records. For group interactions, teachers should write down next to the student name on the assessment records where the student chosen sat, e.g. the first student on the left. The assessment records should be scanned to pdf and named using the same naming convention. For example, if a Student Work is named as ELANG(123456).mpg, the respective assessment record should be named as ELANG(123456).pdf.

    The CD/DVD can be submitted by hand or by registered post. The CD/DVD, if submitted by hand, should be delivered to one of the following collection centres:

    8.4 School Inspection (only for Design and Applied Technology)

    School inspections will be conducted from February to April 2013; no Student Work should be sent to the HKEAA offices.

    9. Submitting Teacher Document (only for Chinese Language, Liberal Studies and Chinese History)

    Teacher Document refers to assessment plans, booklists, task lists, etc. as specified by relevant subject that should be submitted to the HKEAA.

    9.1 Submission of Teacher Document (by Subject Panel) Notes: 1. Online endorsement of Teacher Document by the Principal is NOT required. 2. For details, please refer to the table printed on page 4 6 of this Handbook.

    9.2 Submission through Online Services This section outlines the steps for uploading Teacher Document to the Online Services. Notes: 1. The Teacher Document for all teaching groups should be zipped into one single file. Please note that if the Teacher

    Document contains only one file, there is no need to perform the zipping procedure. The system can accept files of any common extensions such as doc.and pdf.

    2. Teacher Document file name convention: [Subject Abbreviation] (TD).[File extension], e.g., CLANG(TD).zip, CLANG(TD).doc, LIBST(TD).doc, CHIST(TD).pdf. Please refer to Appendix 10 File Naming Convention.

    Step 1 a. From the School-based Assessment menu, select Submit SBA Files.

    b. The following page will be displayed. Click on the Upload button.

    Step 2 Uploading the teacher document a. Select the Teacher Document option. b. Click on the Browse button. c. In the pop-up window, specify the file location and click on the Open button. d. The Subject Panel can type a message in the Description column about the submission (optional). e. Click on the Upload button. The file will then be uploaded. Note: If the file with the same name already exists, the existing file will be replaced by the latest one.

    Step 3 To view the student list that has been uploaded in order to check whether everything is in good order. a. Click on the Student List / other SBA Files (if any) folder.

    b. The uploaded file will then be displayed. You may click on the filename to view the details.

    Note: You may click on the cross to remove the uploaded file. A message Do you want to delete [Filename]? will be displayed. Then click on the Delete button to confirm.

    10. Appendix: File Naming Convention The name of the Mark Data File will be generated by the SBA software. Schools should NOT change the name of this file. However, schools should create file names for Student Work and Teacher Document according to the following naming conventions.

    6-digit Student Document Number is the number assigned to individual student as indicated in the Mark Summary Sheet. In fact, it comes from the beginning six digits of the identity document of a student. For example, if the HKID number of a student is K362880(1), the document number of him/her is then 362880.

    Please note that if the work for a student contains only one file, there is no need to

    perform the zipping procedure. The system can accept files of any common extensions such as:

    .pdf, .jpg, .gif, .tiff, .txt, .doc, .docx, .xls, .xlsx, .mp4, .mp3, .mpg, .mpeg, .zip, .pptx

    If students are completing their work in digital format, teachers can encourage them to use the above naming convention for their work.

    11. Appendix: Useful Tips for Handling Student Work Files

    Notes: 1. File format should be in pdf, jpg, gif, tiff, txt, doc, docx, xls, xlsx, mp4, mp3, mpg, mpeg, zip, ppt or pptx. 2. For online submission, the file size of the SBA work of an individual student should not exceed 10Mb. (Note: For

    Visual Arts and Information and Communication Technology, the file size for each students work file should not exceed 20 Mb and 15 Mb respectively.)

    Teachers may encourage students to complete their work in digital form. Moreover, teachers may advise students to pay attention to the file size limit and make use of the following guidance in handling their work.

    11.1 Resizing pictures You may use Microsoft Office Picture Manager to compress an image file. However, the image format should be JPEG rather than bmp or tiff. The image can be compressed through the steps as shown below. Step 1 a. Click on Edit Image.

    11.2 Conversion of hard copy to pdf with minimum file size You may use a scanner or a photocopying machine with scanning function. Students are recommended to use A4 sized paper to do their homework. During the scanning process, 300 dpi resolution in multiple pages mode is recommended for producing pdf with minimum file size.

    11.3 Zipping several files into a single file You may refer to the following steps to zip your files. Step 1 Right click to select folder(s) or file(s). Step 2 Click on the Send To and then click on the Compressed (zipped) Folder.
