ROTARY OVERVIEW

• Rotarians are living their motto of Service Above Self.

• Rotary Clubs and Districts throughout the world ask RFHA for guidance and possible support on disease prevention and HIV/AIDS.

• Rotary Clubs are responsible for selecting, building, managing and volunteering at each of the sites and mobilizing the communities.

Establish Steering Committee team – Financial/PR and Communication/IT/Matching grants/Medical person?/Distribution/DoH liaison

Liaise with all 9 Regional Chairs (RC’s) to set up training sessions with Rotary Clubs

Structure meetings with Provincial Department of Health Officials to plan site selections

Submit compiled list of approved 70 sites agreed on between RC’s and local DoH partners

Establish reporting structure and regular meetings for information flow e.g. media roll out, delivery of t shirts, supplies etc.

Liaise with partners when necessary e.g. Coca Bottlers, DoH, SABC (at local level)

Manage budgets and payments to clubs in consultation with RFHA Financial Director, PDG Anton Meerkotter (more media control in terms of budget at this level as opposed to 2013 eg. Printing etc)

Secure final reports and statistics from each RC timeously Logistics for printing and delivery of approved t shirts/bibs Logistics printing of posters, leaflets, radio ad, interviews etc Establish distribution points throughout the District for items

Contact all Rotary clubs and establish willingness to participate in RFHD’s 2014

Identify a club champion within each participating club Make contact with Provincial and District level Department of

Health officials and strengthen these relationships Identify sites in consultation with clubs and local DoH Submission of these sites to Programme Director through Steering

Committee by November 30th , 2013 Make contact with the CDC/USAID funded NGO’s for support at

various sites Provide a plan and contact list in partnership with Provincial and

District level DoH Establish timelines around deliverables in conjunction with

Steering Committee Head

Provide training seminars at club level most importantly around the data collection tool

Establish layout and infrastructure of sites with clubs and DoH. Perhaps provide a template?

Identify and Provide add on medical and other services at each site

Manage budgets and financial controls for each region and the clubs in that region

Manage media budget at a local level Give agreed regular feedback/reports to Steering Committee Head

(SCH) as agreed upon Give final report at the end of the RFHD’s to Steering Committee

Head Encourage clubs to look for new members for Rotary within their

dealings with partners and community

Each site identifies a Rotary Champion who: Manage the logistics and planning of sites: e.g.: security, tent,

chairs, tables, monitoring of the people coming through the site, delivery of water from CC bottlers, t shirts, duty roster for Rotarians, photographer, etc

Appoint dedicated Rotarians to manage the data collection process, registration, marshalling, etc.

Attend training sessions by SCH and Regional Representative Catering for staff/volunteers (Rotary only) Develop an action plan per site Develop a budget per site for submission to SCH and Financial

Officers Submit expense claims to SCH for payment by District FO

Manage relationship on site with DoH, PEPFAR/USG and other NGO contacts

Obtain “add-on” services through Rotary club connections eg: optometry, hearing, hand washing, distribution of sanitary towels, breast cancer screening, etc.

Assist the DoH with administration of polio drops

Provides a report to the Regional Representative at the end of the 3 day programme

Work with Media liaison officer for D9400 on media plan roll out

Works to timelines agreed upon with SCH and Regional Representatives
