Introduction

The American Red Cross is a nonprofit organization that has been a cornerstone of

philanthropy, assisting individuals around the world to overcome debilitating disasters

since 1881. Though the American Red Cross has several different branches, this particular

campaign focused on the Home Fire Preparedness aspect. This nationwide campaign,

within the American Red Cross, aims at working to reduce the number of deaths and

injuries from home fires in the United States by as much as 25 percent over the next five

years.

The effort involves educating people about fire safety through door-to-door

canvassing in high-risk fire neighborhoods and installing smoke alarms in some of these

neighborhoods. In tandem with the canvassing efforts, the Red Cross is also asking every

household in America to take the two simple steps that can save lives. These steps are

checking existing smoke alarms and practicing fire drills at home with the entire family.

The American Red Cross’s Northeastern Chapter, partnered with a Public Relations team

comprised of Mansfield University Students to specifically target a small town in Tioga

County. The team decided to focus on the Lawrenceville Community located within Tioga

County.

By utilizing both primary and secondary research to determine more about the

community and their perception of what Home Fire Preparedness meant to them. By

utilizing this research, the Public Relations team, in conjunction with the American Red

Cross, set several goals for this outreach. The goal was to increase the awareness of home

fire prevention within the Lawrenceville Community, as well as to increase the

implementation and use of home fire prevention methods.

In order to achieve these goals, the team created a special event for members of the

Lawrenceville Community to attend, which was a Fire Prevention Block Party. The group

created several pre and post promotional items such as news releases, flyers, radio ads, and

door-hangers to spread the word of the American Red Cross Fire Prevention Block Party

hosted by the Lawrenceville Fire Department. The event attendees, in the form of a post

event survey, also assessed the efforts by the Public Relations team.

Situational Analysis

Organizational Overview

The American Red Cross is part of the world’s largest humanitarian network with

13 million volunteers and 30,000 employees in 187 countries. They have more than 650

chapters and 36 blood service regions. Working together, the American Red Cross helps

respond to disasters, build safer communities, and teach the rules of war. Each year, they

reach an average of more than 100 million people across the globe (“American Red Cross”

2015).

History

Founded by Clara Barton in 1881, the American Red Cross has been a cornerstone

of philanthropy, helping individuals around the world overcome debilitating disasters.

Clarissa Harlowe Barton, or Clara as she desired to be called, is one of the most honored

women in American History. She spent the majority of her days risking her life to bring

supplies and support to soldiers in the field during the American Civil War.

After dedicating her entire life to serving the soldiers, she founded the American

Red Cross in Washington, D.C. on May 21st, 1881 and led it for the next 23 years. This

time was crucial for the United States, as it was the first time that the domestic and

overseas disaster relief efforts were conducted. This came during the time of the Spanish-

American War, and was campaigned successfully for the inclusion of peacetime relief

work as part of the global Red Cross network, which was initially met with some resistance

in Europe (“American Red Cross” 2015). Barton was very intuitive of the needs of people

that were distressed and also in the ways in which she could provide help to them. Barton

became a teacher at age 15, and eventually opened a free public school in New Jersey.

From 1862 to 1865 she served as a combat nurse, and worked for the war department to

help reunite military families (“Clara Barton” 2015). By the force of her personal example,

she opened paths to the new field of volunteer service. Her intense devotion to serving

others resulted in enough achievements to fill several ordinary lifetimes.

After serving her foundation for 23 years, Barton resigned from the organization in

1906. Since then, the organization has grown and adapted several times. Prior to the First

World War, the Red Cross introduced its first aid, water safety, and public health nursing

programs. The most recent version was adopted in May 2007. This version restates the

traditional purposes of the organization, which include giving relief to, and serving as a

medium of communication between members of the American armed forces and their

families. It also included providing national and international disaster relief and mitigation.

The American Red Cross has enhanced their programs in safety training, accident

prevention, home care for the sick, nutrition education, disaster relief, blood donation, and

relief for the armed services (“American Red Cross” 2015).

Today the supporters, volunteers, and employees of the American Red Cross

provide compassionate care in five critical areas: people affected by disasters in America,

support for members of the military and their families, blood collection, processing and

distribution, health and safety education and training, and international relief and

development.

North Central Pennsylvania Red Cross

The North Central Pennsylvania Red Cross locations include Williamsport,

Lewisburg, Berwick, Bloomsburg, Danville, and Towanda. These locations serve ten

counties and help with many different kinds of disasters, especially home fires. They have

helped almost 200,000 people in Clinton, Lycoming and Tioga counties. Their corporate

sponsors include Hershey’s, Arcelor Mittal, Nationwide Insurance, Giant Foods, Direct

Energy, WGAL-TV, PSECU, Highmark, and Rite Aid (“American Red Cross” 2015).

Williamsport Red Cross

The Red Cross is an organization that is united across the board, and offers the

same services in all of its locations. The Williamsport American Red Cross, located at 320

East 3rd St. Williamsport, PA 17701, provides all the services the main Red Cross offers.

However, blood services are a separate cause due to its specialized nature. The main office

for blood services can be found in Wilkes-Barre, Pennsylvania. They mainly use host

locations to hold blood drives. The Williamsport office is one of three staffed buildings for

the North Central Red Cross. The other two staffed buildings are located in Towanda and

Lewisburg, Pennsylvania.

The Williamsport American Red Cross office is the Northern distribution hub,

providing supplies such as, learning resources, first aid necessities, and emergency

response tools to Tioga, Bradford, Sullivan, Clinton, and Lycoming Counties. Lewisburg,

the southern distribution hub, services Columbia, Montore, Union, Snyder, and

Northumberland counties. The Williamsport American Red Cross currently has about 13

active volunteers and 75 inactive volunteers. The volunteers have different responsibilities

based on their activity level. The active volunteers often are the EMS and fire response

teams. The inactive participants are responsible for setting up shelters, making agreements

with facilities, following ADA compliances, and gathering materials for shelters. They may

also feed the emergency responders working in the field, and handle smaller situations like

pipes freezing in the winter. The Williamsport Red Cross also has about three full time

employees at this time. Their duties include finances, overseeing volunteers, and setting up

campaigns and presentations.

The Williamsport American Red Cross has responded to eight fires in the past year.

They have served 25 clients, costing about $7,000 each to help. The chapter has also

presented five community outreach demonstrations in the past year, which reached

approximately 400 people.

In order to enhance efforts partnerships must be made with other willing

organizations. Currently the Williamsport Red Cross has partnerships with Panera Bread,

Halliburton, Community Aid, and Middlesworth Chips. Most recently, the Williamsport

American Red Cross has partnered with a local Public Relations team to bring fire

prevention awareness to the local community of Lawrenceville, Pennsylvania.

Social Responsibility

The American Red Cross is one of the biggest organizations with a large amount of

social responsibility. Ethically the group is expected to spend a majority of their donations

on helping prevent or relieve a disaster. When an individual or company donates to the

American Red Cross, this is what they expect their money to go towards. The same is

expected of the smaller chapters of the Red Cross, including the Williamsport chapter.

In addition to ensuring funds go where expected; the organization also holds an

enormous responsibility to help the public in times of need. Since the Red Cross name is

known so well all over the world, if they are not around in a time of crisis or natural

disaster it will not go unnoticed. Specifically, the Williamsport chapter of the American

Red Cross is expected to hold up their end of the social responsibility by helping the

counties surrounding them.

Competitors

Like many large organizations the American Red Cross has their share of

competitors. Any other group that offers blood collection, in the Williamsport area, is an

enormous contender. Blood collection is one of the organization’s biggest efforts. When

other groups in the area decide to collect blood, it takes donators away from the Red Cross.

Additionally, any other organization that requires volunteers and donations is a competitor

as well. These groups may often get volunteers, funds, and donations that would have went

to the Red Cross.

SWOT Analysis

A SWOT analysis breaks up an organization to look at its strengths, weaknesses,

opportunities, and threats. This is a useful tool to gather all the information about the

organization in order to evaluate how to best reach an objective. For a SWOT analysis to

be effective it must be detailed and realistic. The strengths of the analysis may include any

characteristics of the organization that give it an advantage over others. Weaknesses are

anything that could give the organization a disadvantage. Opportunities include elements

that the organization could use to its benefit. Finally, threats are components in the

environment that could cause a problem.

Strengths

The Williamsport American Red Cross would not have become the monumental

organization it is without its many strengths. Its widely known name is one of its biggest

assets currently. The public knows who the Red Cross is, and is willing to donate because

of the positive reputation the organization has.

The Williamsport American Red Cross also has power when it comes to their blood

donations. They are the only organization allowed to carry blood across state lines. This

means when there is a disaster anywhere in North America, the Red Cross can get blood

there if other smaller organizations run out. This is something no other group can do.

The organizations biggest strength is, of course, its volunteers and donators. As a

non-profit the American Red Cross would simply not be able to help as many people

without its supporters.

Weaknesses

One weakness for the Williamsport American Red Cross is volunteers. Recruitment

has been an obstacle for the organization for many years. A non-profit organization that

does as much as the Red Cross does relies on volunteers for many of its efforts. However,

people often do not want to spend their time volunteering, or they simply do not have the

spare time.

Another weakness is lack of funds. Donations are what keep the American Red

Cross going, and each chapter is expected to raise a certain amount each year. These

donations come from people around the community who want to give back. Sadly, often

there are not enough people willing or able to make a donation.

Opportunities

As a small chapter of a much bigger organization the Williamsport Red Cross has

many opportunities surrounding them. Partnerships with surrounding businesses could help

them gain more volunteers and donations, while also letting the community know they are

in the area. Another opportunity is social media use. The use of newer technology could set

the organization apart from other groups and get them known within the Williamsport area,

and perhaps by even more people.

Threats

One threat to the Williamsport American Red Cross is its competitors. If the other

groups gain too many volunteers and donations at the Red Cross’ expense it could be

detrimental to the organization. Another threat in the Williamsport area is travel. Weather

conditions may prevent volunteers from getting where they need to be in a time of need.

Organization Efforts

Disaster Relief

In terms of disaster relief, the Red Cross responds to roughly 70,000 disasters in the

United States every year. Disasters include home fires, earthquakes, hurricanes, floods,

tornadoes, hazardous material spills, transportation accidents, and explosions. In events

such as these, the Red Cross provides several resources to help families and entire

communities get back on their feet. In events such as those previously mentioned, the Red

Cross provides shelter, food, health, and mental health services. Although the Red Cross is

not a government agency, it is an essential part of the response when disaster strikes. They

often work in partnership with other agencies and organizations that provide services to

disaster victims (“American Red Cross” 2015).

Military Support

When it comes to supporting America’s military families, the Red Cross helps

military members, veterans, and their families prepare for, cope with, and respond to the

challenges of military service. Some of the ways in which the Red Cross helps military

individuals include emergency communication to family and emergency travel funds. Their

efforts also include emergency communications, training, and support to wounded warriors

and veterans and access to community resources. They help an average of 150,000 military

families and veterans annually (“American Red Cross” 2015).

Blood Donation

The American Red Cross’ strong efforts are what make them the largest single

supplier of blood and blood products in the U.S. Each year. Nearly 4 million people donate

blood through the Red Cross, helping to provide more than 40% of American’s blood

supply. This means that almost half of the blood used in hospitals across America comes

directly from efforts involved with the Red Cross. This is an enormous accomplishment for

an organization that relies mostly on volunteer efforts. The organization achieves this

though workers and volunteers donating their own blood, partnering to host a blood drive,

and recruiting donors (“American Red Cross” 2015).

Health and Safety Services

When it comes to health and safety services, the Red Cross is the nation’s leading

provider of health and safety courses, such as CPR, First Aid, and Lifeguard training. Each

year, more than 9 million Americans, including first responders, educators, babysitters, and

the general public, participate in these training programs. The training programs can be

held in the classroom, online, or a blended version of both (“American Red Cross” 2015).

The Williamsport chapter of the American Red Cross provides all of these services as well.

They are facilitated in a classroom setting right at the office.

Mission/Goals

The Mission Statement

“The American Red Cross prevents and alleviates human suffering in the face of

emergencies by mobilizing the power of volunteers and the generosity of donors

(“American Red Cross” 2015).”

The Vision Statement

“The American Red Cross, through its strong network of volunteers, donors and

partners, is always there in times of need. We aspire to turn compassion into action

so that...

...all people affected by disaster across the country and around the world receive

care, shelter and hope;

...our communities are ready and prepared for disasters;

...everyone in our country has access to safe, lifesaving blood and blood products;

...all members of our armed services and their families find support and comfort

whenever needed; and

...in an emergency, there are always trained individuals nearby, ready to use their

Red Cross skills to save lives (“American Red Cross” 2015).”

Fundamental Principles

Humanity

The Red Cross, born of a desire to bring assistance without discrimination to the

wounded on the battlefield, endeavors—in its international and national capacity—to

prevent and alleviate human suffering wherever it may be found. Its purpose is to protect

life and health and to ensure respect for the human being. It promotes mutual

understanding, friendship, cooperation and lasting peace amongst all peoples.

Impartiality

It makes no discrimination as to nationality, race, religious beliefs, class or political

opinions. It endeavors to relieve the suffering of individuals, being guided solely by their

needs, and to give priority to the most urgent cases of distress.

Neutrality

In order to continue to enjoy the confidence of all, the Red Cross may not take sides

in hostilities or engage at any time in controversies of a political, racial, religious or

ideological nature.

Independence

The Red Cross is independent. The national societies, while auxiliaries in the

humanitarian services of their governments and subject to the laws of their respective

countries, must always maintain their autonomy so that they may be able at all times to act

in accordance with Red Cross principles.

Voluntary Service

The Red Cross is a voluntary relief movement not prompted in any manner by

desire for gain.

Unity

There can be only one Red Cross society in any one country. It must be open to all.

It must carry on its humanitarian work throughout its territory.

Universality

The Red Cross is a worldwide institution in which all societies have equal status

and share equal responsibilities and duties in helping each other (“American Red Cross”

2015).

Events and Campaigns

Blood Donations

The American Red Cross Blood Services depends on everyday individuals to

donate blood, time, money, and expertise. This initiative presents individuals with a variety

of ways to get involved. One way to be involved in through the act of general blood

donation. They focus this kind of campaign on healthy individuals whom are willing to

provide a blood donation in order to assist others in a crisis today with the help for

tomorrow.

Another event is hosting a blood drive. Hosting a blood drive with the Red Cross is

a partnership. One offers a suitable location, recruitment and scheduling of donors, and

publicity of the drive. The American Red Cross takes care of the rest. Each step of the way,

the Red Cross relies on an equal partnership with the host of the blood drive. They provide

screening equipment, help to determine how many donors to expect and how to

successfully recruit them, and then they do the screening and collecting of the blood.

Overall this is a great way for the American Red Cross to partner with communities to give

back.

If a blood drive cannot be hosted, there is still the option to volunteer at a blood

drive. The American Red Cross Blood Services volunteers help ensure that every blood

donor has a positive experience, and that they are thanked for their contribution. This is

especially important because when the time comes, they want these generous individuals to

return to help save even more lives. Volunteers are needed for welcoming donors at blood

drives and thanking them at the refreshment area, for transportation specialist, team

leaders, office assistants, trainers, and community outreach specialists. There are many

different roles to donate your time to the American Red Cross depending on your expertise,

availability and interests.

Lastly, recruiting donors is another one of the ways one can donate their time to the

American Red Cross. One of the most common reasons that people give for not donating

blood is that they have never been asked. In the role of blood drive coordinator or

committee member, the most important job is to ask potential individuals if they would be

interested in donating blood for such a worthy cause (“American Red Cross” 2015).

Home Fire Prevention

According to the U.S. Fire Administration, 369 people have already lost their lives

in a fire in their home since the beginning of 2015. The American Red Cross Home Fire

Preparedness Campaign is taking aim at this tragic statistic by working to reduce the

number of deaths and injuries from home fires in this country by as much as 25 percent

over the next five years.

Since the campaign launched this past October, it has already saved several lives.

This particular campaign works alongside fire departments and community groups

nationwide with hundreds of Red Cross employees, and volunteers within all 50 states and

Puerto Rico. They have come together to install thousands of smoke alarms in communities

across the country (“American Red Cross” 2015).

The effort involves educating people about fire safety through door-to-door

canvassing in high-risk fire neighborhoods and installing smoke alarms in some of these

neighborhoods. In tandem with the canvassing efforts, the Red Cross is also asking every

household in America to take the two simple steps that can save lives. These steps are

checking existing smoke alarms and practicing fire drills at home with your entire family.

Since this campaign began, more than 34,000 smoke alarms have been installed, nearly

6,000 batteries have been replaced in smoke alarms, there have been services provided to

more than 56,000 people, and development of more than 15,000 household fire escape

plans. The home fire prevention campaign requires a $250,000 donation to get an

organizations name partnered with the project.

In general, the events held by the American Red Cross vary from state to state, and

country to country. Each local chapter of the American Red Cross holds events frequently

that are specific to what their area is in need of at that present time. On December 12, 2014

the Red Cross held an event where they had volunteers visit residents with a fire safety

message after a Lebanon home fire (“American Red Cross” 2015). The Williamsport Red

Cross often has representatives’ travel to senior centers, health fairs, Americore, and many

established groups to give presentations on fire prevention. These events are held mostly

when the Williamsport Red Cross is contacted with a request. There is no set number of

presentations for the organization, and it can vary depending on the demand from the

community. Most of the audience consists of senior citizens, community members, and

emergency responders.

Many of their events are for funding purposes, because the organization is

completely non-profit. They are required to raise $600,000 annually for the ten county

budget. However, only donations of $1,000 or more are counted towards this. These are

known as major gifts. The main issue with gathering donations is that there is no physical

reward for the donor’s contributions. They donate specifically for the opportunity to give

back. When it comes to blood donation, there is no money gained by the Red Cross,

because it is sold at the lowest cost.

Traditional Communication Tactics

Television and Radio

The American Red Cross uses Public Service Announcements, in the United States

only, to reach their audiences. A series of videos, and sound clips, known as “Red Cross

Storytellers,” is available on their website and can be seen on television and heard on radio.

The series uses testimonials of families and individuals who have personally been helped

by the Red Cross. The families talk about military help, health and safety, and everyday

disasters. There are ten PSA’s which are each 30 seconds long (“American Red Cross”

2015).

Print

The American Red Cross also utilizes print advertisements to spread the word about

what they do. The advertisements consist of a series of personal photos with handwritten

testimonials from individuals who have been helped by the Red Cross. There are also print

advertisements appealing to possible volunteers. These advertisements show people

volunteering, with the caption “Not all heroes wear capes (“American Red Cross” 2015).”

Live-Read Scripts

On their website the American Red Cross offers live-read scripts for radio stations

to utilize. The scripts cover topics such as fire prevention, volunteering, blood donation,

international services, and services to the armed forces (“American Red Cross” 2015).

Social Media Tactics

Facebook and Twitter

The American Red Cross utilizes their Facebook and Twitter pages to post

information and content relevant to their mission, to their community, and to give

community members a place to connect with the American Red Cross and each other. The

social engagement team at the American Red Cross National Headquarters manages this

page. They do not monitor the page 24/7, but strive to respond to questions and comments

regularly and promptly. This page is in accordance with the Facebook Community

Standards and they will remove posts and or an accounts that violate those standards or are

abusive or threatening towards any individual violating any law or individual’s rights,

fraudulent or deceptive, repetitive in terms of posting or spamming, or are off-topic or

irrelevant (“American Red Cross” 2015).

Google+

The American Red Cross maintains this page similarly to their Facebook and

Twitter pages. It focuses on informing individuals on things that are occurring that are of

pertinence to American Red Cross organizational standards (“American Red Cross” 2015).

YouTube

The American Red Cross utilizes their YouTube Channel to upload videos created

by, for, and/or about the American Red Cross. They stress that the American Red Cross is a

charitable organization, not a government agency. It depends on volunteers and the

generosity of individual community members to perform their mission (“American Red

Cross” 2015).

Overall in terms of the American Red Cross’ social media presence, it is used

heavily by the organization. It could be utilized more efficiently for community

involvement. They could post prompting questions and engaging questions in order to

foster community response. The Williamsport Red Cross social media pages are simply a

contact information based extension of the main Red Cross pages. The information

includes an address and/or a phone number (“American Red Cross” 2015).

Williamsport Red Cross Media

Traditional Media

Overall the Williamsport Chapter does what they can with traditional and social

media given their small staff and volunteer list. They are effective in responding to

concerns and showing the community what they do. If the resources were available it

would be beneficial to expand their media use further. An active Facebook and Twitter

page would reach entirely new audiences. This could earn them more donations and

volunteers. The organization could also utilize traditional media by making Public Service

Announcements and flyers to recruit volunteers, gain donations, or to simply spread the

word about what they do.

The only traditional media frequently utilized by the Williamsport chapter of the

American Red Cross are press releases. These are done when the chapter responds to an

emergency. The responders then call a volunteer, who writes and issues the press release to

a media list.

Social Media

The only form of social media specific to the Williamsport chapter of the American

Red Cross is a Facebook page that is not used often. The organization is looking to merge

their current Facebook page with the Harrisburg chapter in order to utilize it more

effectively. They currently have staff that watch over social media to see if the

Williamsport chapter is specifically mentioned and needs to respond to any questions or

concerns.

Lawrenceville, Pennsylvania

History

Lawrenceville is a small town located in northern Pennsylvania, almost touching

the New York state border. There are currently two historical sites in Lawrenceville: the

James Ford House and the Judge Jon Ryan House. The town is located on the banks of the

Tioga and Cowanesque rivers, and has only one stoplight. There are a few businesses in

town, including a few gas stations and a Dollar General. Residents may attend the local

public schools ran by Northern Tioga School District. The closest bigger town to

Lawrenceville in Pennsylvania is Mansfield, which is about 15 minutes away.

Home Fire Prevention Campaign

Lawrenceville, Pennsylvania is the ideal place to hold a Public Relations campaign

focused on home fire prevention. The small size of the town, paired with the lower middle

class income, make for a logical target audience. The small town community aspect will

allow the Red Cross to reach a good majority of the residents. In addition to giving the

Lawrenceville community information, this campaign will allow the Red Cross to help

those in need. Lower middle class families may have a difficult time paying for the

expenses related to fire safety, which includes fire alarms, fire extinguishers, and fire

window decals. Working families may also have a lack of time to make a fire safety plan

with their children. The Red Cross will help with both of those issues by providing

informational materials, smoke alarms, batteries, and installation, and easy fire safety plan

guides.

Demographics

The total population, of 628 residents, consists of 300 males, and 328 females with

a median resident age of 39.4 years of age. This is reflective of the Pennsylvanian median

age of 40.1 years of age. The estimated median household income as of 2012 is $31,488 as

compared to the $29,896 median household income in 2000. The estimated per capita

income in 2012 was $19,957 as compared to the previous $29,896 in 2000. The mean value

of all housing units in 2009 was $90,009, $104,908 for detached houses, $100,612 for 2-

unit structures and $48,536 for mobile homes. The median gross rent cost as of 2012 was

$598 per month (“Lawrenceville, PA” 2015).

This borough has an average number of household occupants of 2.3 people,

reflective of the average 2.5 people in Pennsylvania as a whole. Lawrenceville has a 64.1%

of family households reflective of the 65.0% in Pennsylvania as a whole (“Lawrenceville,

PA” 2015).

Overall, Lawrenceville as compared to the Pennsylvania State average, the median

household income is below the state average. The median house value is below the state

average. The unemployment rates are below the state average. The length of stay since

moving to this area is significantly below the state average, and the house age is below the

state average (“Lawrenceville, PA” 2015). Lawrenceville is a struggling lower middle class

working town. The area does not attract many new residents, nor keep them around for

very long. With many of the residents living paycheck-to-paycheck, and struggling to stay

ahead on bills, it is no surprise that fire safety has not been a huge concern.

Lawrenceville Station 8 Fire Department

The Lawrenceville Fire Department is located within northern Tioga County along

US Route 15. The area is made up of a mix of residential, rural, industrial, and recreational

areas. The department responds to approximately 125 fire/rescue emergencies a year with

the ambulance association covering more than 400 EMS calls every year. The members of

this department are cross-trained in medical, fire, HAZMAT, and vehicle rescue operations

with some having been trained in other areas of special rescue. Lawrenceville Fire

Department’s first due area consists of approximately 36 square miles which includes the

municipalities of Lawrenceville Borough and Lawrence Township with some mutual aid

Survey Analysis

Secondary Research

The secondary research tools that were implemented were conducting a search for

information, statistics, and employee information about the Williamsport Chapter of the American

Red Cross. This research was done primarily online by canvasing several informational websites.

Additionally, the Mansfield University Public Relations students searched through several online

journals that contained relevant information about the American Red Cross. Furthermore, another

secondary research tool that was implemented was examining media sources for information about

the National and Williamsport chapters of the American Red Cross.

Primary Research

The primary research tool that was implemented was a survey. The survey was distributed

throughout the community of Lawrenceville, Pennsylvania. This document was meant to gain a

better understanding of what specific measures the Lawrenceville community can take to prevent

house fires. Additionally, as primary research, the Mansfield University Public Relations students

asked the American Red Cross Disaster Relief Manager, Steven Leauber several questions as an

informal interview, following his presentation to the class. This allowed for information to be

collected about the Williamsport Chapter of the American Red Cross that could not be found

anywhere but within Mr. Leauber’s office.

Methodology

In order to find out important information on demographics and psychographics, as well as

general knowledge of home fire prevention within the Lawrenceville, Pennsylvania area, a survey

was implemented. The survey was distributed at local Lawrenceville businesses such as

restaurants, gas stations, and the local grocery store. The survey was executed primarily on

Monday, February 23rd and Wednesday, February 25th from the hours of 8 a.m. until 2 p.m. in

order to reach a wide variety of community members.

The individuals who completed the survey ranged from 18-80 and the number of males and

females were almost equal. The approximate household income of the participants ranged from

less than $10,000 to more than $61,000.

This survey consisted of 23 questions. These questions ranged from household income,

knowledge of fire prevention, to awareness of the American Red Cross. The final question of the

survey asked the participant if they were interesting in volunteering, and if they were, there was a

line for them to leave their contact information.

sufficient amount of smoke alarms. The results of this question lead one to believe that

most homes are underequipped with smoke detectors leading one to believe that home fires

are more likely to result in injuries and fatalities. This will help the American Red Cross to

better equip the community with the proper ratio of smoke alarms to rooms within their

homes. Ultimately this will lead the American Red Cross to better protect community

members from debilitating loss from fire.

gas, which is a relatively safe way to heat one’s home. The American Red Cross was

wondering if in a community of this size and economic standing, if there was a correlation

in the types of heating were used. Coal, pellets, and wood can be unsafe if not properly

monitored but overwhelmingly we found that natural gas was used. This information will

be used to give individuals of the community tips on home heating safety.

worse case scenarios, death. This information will be used to better inform the community

on the importance of a fire escape plan and also the best way to implement such a plan.

Issue and Opportunity

In their efforts to help those in need, the American Red Cross often assists many

people who have had house fires. However, they have recently decided to shift their focus

from aiding victims of house fires to preventing house fires. This nationwide campaign is

designed to inform and provide citizens with the tools necessary to prevent a fire in their

home. There is no easy way the American Red Cross can reach every home in the United

States by themselves, although partnering with the Lawrenceville Fire Department provides

an opportunity to help Lawrenceville, PA, a small town which otherwise may have gone

unnoticed. Lawrenceville is considered a lower middle class earning town, with a median

household income of $31,488. This is significantly lower than the Pennsylvania state

average median income of $51,230 (“Lawrenceville, PA” 2015). Since they are a lower

middle class town, the residents may not have the money to buy items to prevent fires.

Parents who are working may not have the time to sit down with their children and talk

about fire safety. This is where the Red Cross and the fire safety campaign can help. The

number of house fires in the Lawrenceville area may decrease by providing the community

with more knowledge and resources to prevent house fires.

Audience

Primary Audience: The American Red Cross would like to extend the awareness of fire

prevention to the residence of the Lawrenceville, Pennsylvania area.

Demographics: Lawrenceville, PA is a rural community with 628 residents. The

population consists of 300 males and 328 females, with a median age range of 39.4 years

old. 97.25 of the residents are white, with a less than 1% population of Hispanics,

American Indians, and African Americans. About 66% of the residents identify as

Republicans, and 32% identify as Democrats. 34.5% of the population is affiliated with a

religious congregation, and of those 30% are Methodist, 22% are Catholic, and 11% are

Baptist (“Lawrenceville, PA” 2015).

89.4% of the population has a high school diploma, 17.3% have a Bachelor’s

degree, and 3.7% have a Graduate degree. The unemployment rate is 5.2%. The median

household income is $31,488, which puts a majority of the residents in the lower middle

class range. Many families in Lawrenceville, PA are economically disadvantaged and may

not have the opportunity to make the same income compared to the surrounding counties:

Tioga (median family income $34,000), Mansfield (median family income $39,420), and

Wellsboro (median family income $39,898). This makes it difficult for families that cannot

afford fire prevention devices. They may put off installing fire detectors, continually

changing the fire detectors batteries, or purchasing a fire extinguisher, due to lower income.

The most common occupations in Lawrenceville are those having to do with retail

and manufacturing. One of the main employers in Lawrenceville is Ward Manufacturing.

Ward Manufacturing is a factory that produces parts for vehicles and this company

employs a majority of the population in Lawrenceville.

63.2% of the residents are currently married, and nearly 40% with children. Parents

need to be educated when it comes to home fire prevention so they can teach their children.

They need to know to discuss and practice fire escape plans, the proper kitchen, cooking

environment, and stop drop and roll method. Many people work, so their children may be

home alone and they need to know fire prevention.

Psychographics: A number of Lawrenceville residents are hardworking and

skilled in manual work. The majority of residents have strong goal orientation and work

ethic. Many residents are family orientated, and have strong ties to their community.

Throughout the year the Lawrenceville community participates in multiple community

events. These events range from “The Mile Long Yard Sale”, 5K’s and marathons, as well

as several varying community events at the Lawrenceville Fire Hall. (“Lawrenceville, PA”

2015).

Secondary Audience: The secondary audience for this campaign will be volunteers

for the Red Cross. Their support, hard work, and effort will be a crucial part of making this

a successful campaign. The secondary audience will also consist of other partnering

organizations such as the Lawrenceville Fire Department and guests at the Fire

Preparedness Block Party. Businesses such as Keck’s Food Service, Brownie’s Mini Mart,

Kwik Fill, Pizza Hut, Sheetz, Rotsell’s Family Restaurant and Dana’s Family Restaurant

will be a key focus as they are an integral part of the Lawrenceville Community. Media

outlets including but not limited to MU 60, The Flashlight, Williamsport-Sun Gazette,

WNBT, and KC 101.5 will be encouraged to help promote the event and also provide a

post event report. Places of worship will be contacted to place an advertisement in their

weekly bulletins. This will also attract an audience that attends services to promote the

event and gain more attendees.

Strategy and Message

The common theme to this campaign will be providing fire prevention information

and tools to a small community that otherwise may not have had this opportunity. To

perpetuate this theme, the message to the Lawrenceville community will be: “Fire

preparedness will save lives.” This message will appeal to the primary audience by

promoting fire prevention awareness through the event and other promotional

communication tactics. The audience will understand this message through event activities,

pamphlets, and guest speakers. As for the secondary audience, the message demonstrates

that with the help of others, fire prevention can be brought to all households.

Special Event Management Plan

Summary/Theme

The special event that is planned is a Fire Prevention Block Party. This event will

bring the small community of Lawrenceville, PA together to have fun while learning about

fire safety. The event will be held on Saturday April 11, starting at 11 a.m. and lasting until

2 p.m. at the Lawrenceville Fire Hall. Games will be located outside the Fire House in their

parking lot while the DJ, chili cook-off, and guest speakers are located inside their

reception hall.

The event will include events for both children and adults. There will be a chili

cook-off that anyone can participate in. The Fire Hall will open their concession stand so

the attendees can purchase hotdogs, hamburgers, chips, candy, and beverages. Participants

must have their chili prepared and brought in a crock-pot to the fire hall at 10:30 a.m. The

top three chilies will receive prizes. There will be a sign up sheet for guests to have free

smoke detectors installed in their house. Adults will receive free smoke detectors and

installation if they sign up for them. Firefighters, public relations team, and volunteers will

split up and go to the homes of those that signed up to have the smoke detectors installed

from 2 p.m. until 6 p.m. There will be a family friendly DJ present throughout the event for

everyone to enjoy. Adults can enjoy guest speakers including but not limited to Steve

Leauber who is the Disaster Relief Manager of the American Red Cross, Amanda Tanner

who is the Public Relations Team Manager, and the chief of the Lawrenceville Fire

Department, Lee Strange.

For the younger audience there will be free face painting. There will also be a tour

of one of the fire trucks. A small double story house will be filled with a fog machine for

people to walk through and find pennies. This demonstration will help to show the proper

way to exit a building during a fire. A fire cup knockdown game will be available for kids

to play. In this activity kids will shoot cups with fire pictures on them to simulate putting

out a fire. Ernie, an interactive response vehicle, which will move and talk to guests will

also be available. A fire extinguisher simulator will teach adults and children how to put

out a fire. Upon leaving there will be goodie bags distributed for the kids.

Audience

The block party event is open to everyone but specifically focused on

Lawrenceville residents. All ages and guests from Lawrenceville, as well as neighboring

towns, are welcome. This event is aimed to spread awareness of home fire prevention.

Attendance will be tracked with a sign-in sheet that will offer an option to sign up for

future volunteering with the American Red Cross. The number of smoke detectors installed

after the event will also provide a way to track attendance.

There will be two tables at the entrance of the event with photo release forms.

People who are attending the event at the Fire Hall will need to sign the forms prior to

entering. All attendees are asked to fill out a photo release form prior to any photos being

taken. The photographer will have an assistant to help them. If guests do not want their

photos taken then will receive a red bead necklace so photographers know not to take their

pictures.

A chili cook-off contest will be held at the event. Local restaurants and community

members will put together their best chili and bring it to the event. Contestants can view

the rules of the cook-off by picking up a rule sheet at local businesses in Lawrence, PA or

calling Amanda Tanner. The Lawrenceville Fire Department will also share the rules of the

cook-off on their Facebook page. Those who have sampled the chili will vote for their

favorite chili to determine the winner. Every one that votes will receive three tickets and

they can place the tickets in any of the voting buckets for each chili. The tickets for each

submission will be totaled up to find the most votes. If there is a tie, the chief of the fire

department will pick his favorite to decide the final winner. The top three chili’s will win a

prize basket of either a romantic night at a hotel, a car inspection basket, or a gift card for a

spray tan.

There will also be 33 gift cards from businesses in Mansfield and Lawrenceville.

Two smaller baskets will be put together for children. They will have coloring supplies,

jump ropes, and movies inside. Adults and children can win these prizes through a raffle

drawing that will be held every half an hour. They will receive a ticket for a chance to win

the prizes when they sign the photo release forms.

Every child that attends the block party will leave with a goodie bag. Children will

get candy, coloring books, and other small trinkets. Adults will receive free fire alarms

(including insulation), fire safety information, and pens or pencils.

Newsworthy

This fire prevention event will be newsworthy because small towns, such as

Lawrenceville, typically do not get much attention from big organizations such as the Red

Cross. There is expected to be a decent turn out for the event, because there are activities

for both adults and children. Small towns often enjoy local community events where

everyone is welcome. Bringing everyone together will be a fun environment for friends and

family to spend time together. Furthermore, since the weather will be starting to get

warmer, the block party falls at the perfect time for the guests to get out of their houses and

welcome in spring.

Recently there was a devastating home fire that left three adults homeless in Tioga

County. The family lost their home, everything they owned, and a family pet. The family

escaped safely because of the smoke detectors that were installed one week before the fire.

Bringing the importance of fire prevention and distributing smoke detectors to this small

community will not only provide further education, but will save lives as well.

There is a common saying that animals will wake up a family if there is a fire. This

was not the case. The lives of these individuals were saved by a smoke detector that was

installed by the American Red Cross. The community realizes the importance of smoke

detectors and can see the impact of a home fire first hand. They will want to learn how to

protect their family form a fire. By offering free smoke detector installations and fun

games, such as the virtual fire extinguisher and smoke house, they will be able to keep their

families safe and educate them at the same time.

Ethical/Legal Considerations

There is no need for any permits for the event. The Fire Hall will be hosting the

event so it will be covered by their insurance. The parking lot behind the Fire Hall will be

blocked off so children can enjoy activities outside. There will be designated parking areas

for attendees. First responders will be on site in case there is a medical emergency.

The rules for the contest will be posted at the Lawrenceville Fire Department on a

large poster board. The rules will also be posted online via Facebook prior to the event.

Contestants will able to pick up the rules at local restaurants and stores. Rules will also be

posted on bulletin boards and door hangers throughout Lawrenceville. The community

members will be the judges for the chili cook-off. If there is a tie the fire chief, Lee

Strange, will break the tie by tasting each chili and choosing his favorite one.

Action Plan

Fire Department

The Lawrenceville Fire Department will be contacted to reserve the appropriate day

and time to host the event. The Fire Department will open their concession stand so

attendees can purchase food. They will volunteer to give fire truck tours, let children play

with the fire hoses, and provide games for the attendees to play. The Fire Department will

have all of their trucks in the bay of the Fire Department. The firefighters will facilitate

their concession stand and events.

Goodie Bags, Prizes, and Hand Outs

Two hundred Goodie bags will be assembled to distribute to the children who

attend. Three gift and two children baskets will need to be assembled as well. The adult

baskets will consist of the top three Chili Cook-Off winners. Children baskets will consist

of coloring supplies, jump ropes, and movies. There will be 33 gift cards to be raffled off.

The baskets will be assembled through donations received through businesses in the

community.

There will be a table full of promotional material such as fact sheets and fire

prevention pamphlets. There will also be free pens, American Red Cross rubber bracelets,

and chap sticks that attendees can take home with them.

Decorating

Decorations for the Fire Hall will be put up a day in advance of the block party.

Streamers and balloons will be hung and everything for the activities will be set up,

including the outdoor activities. Balloons that require helium will be blown up the day of

the event. The games and activities that will be located outside will be set up the morning

before the event.

Printing

Flyers will need printed as well as other informational items including door hangers

and Chili Cook-Off rules. Fact Sheets will need to be printed as well.

Volunteers

Mansfield University students, friends, family, and fire hall volunteers will need to

be contacted to ask them to come and assist in facilitating the event. Alpha Kappa Lamba,

Sigma Alpha Epsilon, and Sigma Tau Gamma fraternities along with Alpha Sigma Tau,

Alpha Sigma Alpha, and Zeta Tau Alpha sororities on campus will be asked to help

facilitate the activities, games, and face painting that will be held. Brock Schnoke will be

asked to attend and photograph/video the event. The campus radio station will be contacted

to ask if they can provide DJ equipment as well as a few representatives to help facilitate

this event.

Speakers

There will be several media outlets contacted to advertise the event. Amanda

Tanner, Steve Leauber, Lawrenceville Fire Department’s fire chief, and other individuals

who have been helped by the Red Cross will be guest speakers who will have to be

contacted to determine the speaker schedule.

Contingency Plans

In the event that bad weather is forecasted for the day of the event, all activities will

be moved inside the Fire Hall. The Fire Hall has a capacity of 400 people. If too many

people show up, they will be directed to the activities outside. If a speaker cannot make the

event, certain group members will be prepared to share their fire tragedy stories.

Firefighters and Red Cross volunteers will also be prepared to speak if a backup is needed.

The Chili Cook-Off will be hosted inside. Fifty dollars will be on reserve in the budget to

ensure that anything can purchased and provided if something was forgotten.

Evaluation Measures

Since the main goal of this event is to promote fire safety information in

Lawrenceville, there are many ways that the event could be evaluated. One way to do this

is simply by the number of people that attend. The event will be packed with information,

so anyone who shows up will gain some knowledge.

Smoke Detectors

Another measure will be the number of free smoke detectors installed directly after

the event. Volunteer signups will be another form of evaluation. There will be post event

surveys that will be randomly distributed to gain feedback on what was accomplished well

and what could be improved.

Goodie Bags

The number of goodie bags distributed to the children will help measure the number

of children that attended. There will be 200 goodie bags prepared. Each individual will

receive one raffle ticket; by counting the number of tickets handed out will help determine

how many adults and children attend.

Printed Materials

There will be around 100 door hangers distributed throughout town and 50 flyers

hung up in local businesses as well as chili cook-off rules. There will be 150 fact sheets

printed and handed out to every adult that attends the event. This will be done to increase

the awareness of the organization, promote the event, and promote the organizations

services during and after the event.

Post Event Promotion

After the event is over, there will be a news release and photos submitted to local

newspapers such as the Wellsboro Gazette and the Sun Gazette. If available, the team will

also examine news coverage of the event through the Mountie Minute, WNBT, and

WENY. Pre and post media coverage, social media feedback from looking at comments

and likes, and observing or talking to the audience will help evaluate how well the event

went according to the public.

AMERICAN RED CROSS FIRE PREVENTION

About: The American Red Cross has been a cornerstone of philanthropy, helping

individuals around the world overcome debilitating disasters. There are many disaster relief

programs within the Red Cross and one in particular is fire prevention. The Williamsport

American Red Cross has responded to eight fires in the past year. They have served 25

clients, costing about $7,000 each to help. They have also done five community outreach

presentations in the past year, which reached approximately 400 people.

Fire Prevention: · Smoke Alarms: Install on every level of your home, inside and outside of bedrooms.

o Replace alarms every 10 years.

o Test smoke alarms once a month.

o Change smoke alarm batteries once a year.

· Fire Extinguisher: Keep an extinguisher on each floor of your house.

o Do not put extinguishers in the closet.

o Place in the kitchen and in garage.

o Replace extinguisher when the expiration date has passed.

o P.A.S.S – to operate an extinguisher Pull, Aim, Squeeze, Sweep

· Cooking Safety: Stay in the kitchen when frying, grilling, or broiling food.

o If leaving the kitchen for a short period of time turn off stove

o Keep anything that can catch on fire away from the stove

o Keep pets off cooking surfaces and countertops so they don’t knock anything

onto the burner.

· Fire Escape Plan: Teach and practice with all household members.

o Ensure an escape is possible from every room in the house.

o Know where to meet if a fire occurs.

o Practice escape plan twice a year

Tips: · Educate your children of fire dangers.

· Keep matches and lighters away from children.

· Turn off portable heaters, stoves, and candles when you leave the house or before you

go to sleep.

· Place “Tots Finder” decals in children’s bedrooms for fire personnel.

· Your home address should be easy to locate from the road for fire personnel.

· If a fire occurs - Get out, Stay out, and Call for help.

· The name of your chili and a list of ingredients

must be posted with your chili, as well as its

hotness (i.e. mild, medium, hot, super-hot).

· Feel free to be creative with your name and

chili ingredient sign.

· Everyone is a judge, so plan to provide roughly

200 samples. These will be approximately 2-4

teaspoons each, not too much but not too little.

(We will provide bowls, spoons, and napkins.)

· Prizes will be awarded for the top three chili

entries valuing $150-$50.

Evaluation Campaign

Objective

To increase the awareness of home fire prevention in the Lawrenceville, PA area by

10% by May 2015

While it is unclear if this objective has been met, a number of steps were

taken in order to inform the Lawrenceville, PA population on the topic of fire

prevention. At least 220 people attended the fire prevention block party, where

everyone was able to take part in fire safety and prevention activities and listen to a

number of guest speakers inform them on the subject. The total population of

Lawrenceville is about 628 people. Given the amount of attendees to the event,

about 35% of the population was informed through the event. Furthermore, the

American Red Cross visited approximately 13 households in Lawrenceville after

the block party. In these home visits fire prevention was discussed, and smoke

alarms were installed. In the future, the American Red Cross could implement a

survey to measure the amount of awareness that was raised, as a direct result of this

particular campaign.

Objective

To decrease the number of home fires in Lawrenceville, PA by 10% by Dec. 2015

It is unrealistic for this objective to be analyzed at this point. However,

many steps were taken in order to insure that there would be a significant decrease

in Lawrenceville home fires in the future. The increase in awareness on fire

prevention is one step that was taken. Approximately 35% of the population was

informed at the fire prevention block party. To decrease the likelihood of home fires

in the area the American Red Cross also visited residents in their home and installed

fire alarms. When the day was over 30 fire alarms had been installed in homes, and

fire prevention materials such as escape plans and fact sheets were handed out at

each home visited.

Objective

To increase volunteering for the American Red Cross in the Lawrenceville, PA area

by 5% (5 volunteers) by May 2015

At this time this objective cannot be measured effectively. However, there

were many steps taken in order to insure the American Red Cross gained more

volunteers. At the fire prevention block party there were tables set up with

volunteer information. Attendees could also speak with American Red Cross

representatives and sign up for more information. During the pre-event survey

people had the opportunity to sign up for more information as well. Overall,

approximately 10 people gave their email and expressed interest in working with

the organization. One of the Public Relations group members has also made plans

to volunteer with the American Red Cross at this time.

Event

Participation

Objective

To hold an event in Lawrenceville, PA with at least 50 guests in attendance by

April 2015

Based on attendance, the Mansfield University Public Relations students far surpassed

the objective of this campaign, stating that it was desired to have at least 50 guests in

attendance by April 2015. At the Fire Prevention Block Party, hosted in Lawrenceville,

Pennsylvania, over 220 individuals were in attendance. This number was gathered from

those that entered the event and signed a photo release form. This is considered a success

because the event far exceeded the expected number of individuals that would attend.

Donations

The amount of donations given to the campaign also contributed to the overall

success of the event. Hoosier Am/FM gave the most generous donation, totaling $500.00.

This donation was used for decorations, game, chili cook-off, and printed materials.

Additionally, several businesses located throughout the Tioga County area donated several

gift cards, and gift certificates as well as a generous donation by Peebles of two designer

handbags, two designer lotions, and two designer fragrances valued at $300.00. The total

value of all 35 of the donations received from local businesses throughout the Tioga

County area was $752.00.

Publicity and Media Coverage

Pre-Event

The American Red Cross PR team created many promotional materials for the Fire

Prevention Block Party event. Flyers were created and distributed throughout several local

businesses. There were 10 flyers distributed and posted in local business along with the

rules for the Chili Cook-Off. Overall, there were over 150 flyers passed out within the

community. Informative door hangers were made and placed in Lawrenceville homes and

businesses. A public service announcement (PSA) was also created for local radio stations.

Prior to the event, multiple articles appeared in local newspapers, such as the Tioga

Freedomist, the Leaders Paper and the Penny Saver. The flyer was also shared and posted

to Heyevent.com. A Facebook event was also created before the event to inform the public

of the fire prevention block party. Hundreds of people were invited. Approximately 30

people said they would attend the event on Facebook.

At Event

Promotional materials were also distributed at the Fire Prevention Block Party

event. Those materials include items such as fact sheets and social media cards. There were

150 fact sheets provided the public with information on what the American Red Cross

does, fire prevention advice and future tips and all of the fact sheets were taken by the

community at the event. It also included where to go to find more information on home fire

prevention, which would be the disaster relief manager, Steve Leauber. The social media

cards included information on how to tag your Fire Prevention Block Party pictures. This

also allows visitors the option to view pictures that were taken by the event photographers.

At the time of the event, Blue Ridge Cable Company made an appearance. They

were looking to interview multiple figures at the event, including Amanda Tanner. The

company also covered the activities offered throughout the day. This material was aired at

a later date. A freelance reporter also attended the fire prevention block party, and later

wrote a feature article about the event.

Post-Event

Facebook was also used after the event for publicity. A page was created with the

URL www.Facebook.com/FirePreventionBP. Once the event had ended, many pictures

were posted to the page from the multiple event photographers. A press release and letter to

the editor were also released shortly after the event. Both items explained the event and

thanked the guests and volunteers. Since the event, the social media page was liked 30

times, viewed over 3,000 times and shared throughout community members several times.

Team

Effective Teamwork

The communication between the group members was one of the strongest aspects of

the team. They used a Facebook group, phone calls, text messages, and weekly meetings to

discuss what needed to be done. The group members consistently turned work in on or

ahead of time, in order to give them the as much time to make the documents as close to

perfect as possible. Members were made well aware of what they needed to get done and

when the deadline was for each document. Revisions were almost always done by the

following class time and returned to be reviewed again. The group’s hard word and drive

are what made the event a success.

Challenges of the Team

One of the main challenges that this group faced, was making effective and through

edits. Though each of the group members made timely edits, they were not always fully

completed. This became an issue that was addressed and rectified before the final campaign

book compilation began. Overall, the group members were very active and as soon as they

realized that there was an editing issue, everyone worked diligently and the issue was

resolved.

Post Event Survey Methodology

In order to find out important information on how the Fire Prevention Block Party went overall

Knowledge of participant’s satisfaction, participant’s opinion on the event’s organization,

participants opinion on the various activities, what they would have changed about the event, and

what they took away from the event would all be needed knowledge to properly assess the Block

Party. The survey was implemented 45 minutes before the event had ended. This was done so the

participants were able to fully experience the event before filling out the survey and so they would

have enough time to fill the survey out completely. The individuals who completed the survey

household income of the participants ranged from less than $10,000 to more than $61,000.

This survey consisted of six questions. These questions ranged from satisfaction of the overall

event, what they would change about the event, and what they took away from the event,

knowledge of fire prevention, to awareness of the American Red Cross.

of our organization we can evaluate that our timing and setup of the event was successful.

3. What was your favorite activity at the event?

The Raffle was 46% of survey taker’s favorite event, the Chili Cook-off was 38% of their

favorite event, speakers and the Smoke House were both were 6%, and the Jaws of Life

demonstration was 4%. The two favorite activities were the Chili Cook-off and the Raffle.

These activities were two of the campaign’s main tactics to draw attendees to the event.

With them being mentioned more overall than the others we can determine that our tactic

to receive a high attendance rate was a success.

4. What was your least favorite activity at the event?

The least favorite activities were Bubble Blowing at 40%, Chalk Drawing at 31% and

Frisbee Catch at 29%. These activities were held outside. These were popular with a small

number of kids. This could highly be contributed to the weather of the event. It was cold

and windy which would cause parents not wanting to be outdoors with their children. For

the older generation without children this could be due to the lack of interest of the event

itself.

5. If you could change one thing about the event what would it be?

When asked what surveyors would change about the event 79% said nothing, 11% said the

maintenance of children, 4% said Spotty, and 6% said more food. Overall the mainly no

one would have changed anything. The most negative result overall was that of the kids

running around. They would have preferred if the kids were more stationary and not

running around from activity to activity. This falls under the overall evaluation of the event

in what we could have changed. This also most likely factored into the scoring of threes of

our event’s organization.

6. What was one thing you took away from the event?

Overall this question had the biggest variety of answers. A common answer was how

effective smoke detectors are in saving lives. Another common answer how dangerous a

fire could be, how fast it could spread, and how difficult it could be to put out. A final

common answer was how to use a fire extinguisher properly. This is a large take away

from the activities that we had such as the Smoke House, the fire extinguisher simulation,

fire cup knockdown, and guest speakers. For our evaluation it is better than people learned

a variety of different things. This is due to all the different knowledge about home fire

prevention and shows that people took home a variety of helpful knowledge.

in Public Relations. She is employed at Martha Lloyd Community Services as a

direct care shift leader. Her strengths include, writing, editing, management,

Chyenne Bostwick

Chyenne is 23 years old and is pursuing a Mass Communication Degree with a

focus in Public Relations. She has a Bachelor’s Degree in Mass

Communication: Broadcasting. She is a videographer and video editor for

Mansfield University's Into the Northern Tier, MU60, and The Burning

Question. Her strengths include electronic media, organization,

communication, constructive criticism, and leadership.

Mallory Johnson

Mallory is 20 years old and pursuing a bachelor’s Degree in Public Relations.

She works on campus as a student worker for community engagement. Her

strengths include photography, graphic design and organization.

Vincent Mroczka

Vincent is 21 years old and is currently pursuing a Bachelor’s Degree in Mass

Communication with a concentration in Public Relations. He is a founding

member of the E-Sports club at Mansfield University and is the

Chyenne will be in charge of developing all electronic media such as

advertisements, public service announcements, etc. She will also be in charge of

developing and maintaining all social media that may be implemented throughout our

campaign. Additionally, she will be responsible for proof reading documents before they

are deemed complete.

o In the event that Amanda is unable to attend a meeting, event, or

presentation, Chyenne will step in and fulfill Amanda’s duties as Team

Mallory Johnson- Event Photographer, Secretary, Editor

Mallory will be in charge of photographing our final event as well as capturing

photos that we may need for advertising purposes. During meetings, she will be

responsible for taking thorough notes detailing each subject discussed. She will also be

responsible for proof reading documents before they are deemed complete.

Vincent Mroczka- Creative Director, Financial Coordinator

Vincent will be in charge of developing new, original ideas to be implemented

throughout the campaign. He will also be in charge of developing a budget and ensuring

that it’s followed exclusively, and assisting in putting together the final presentation.

Emily Thomas- Graphic Design Coordinator, Writer

Emily will be in charge of developing original posters, fliers, and any other graphic

materials for our campaign. She will also be responsible for writing documents that will be

needed to successfully achieve our goal, and assist in putting together the final

presentation.

Forward: This contract governs the team until the assigned project deadline. If the team

separates, or a member is dismissed, the basic contract laws remain intact for all parties.

However, in the event a member be dismissed from the team, work responsibilities may be

required to shift.

Each team member will have a penalty account. Each team member’s account will begin at

0. In the event that the team member receives a penalty, points will be added to their

account. Each penalty will directly correlate to an amount of points added to your account

and will subsequently be deducted from your final grade.

Ex: If Amanda shows up to a meeting in sweatpants, she will gain 5 points in her

penalty account. At the end of the semester, instead of receiving 100 points, she will only

receive 95.

Points will be kept track of and documented by the team leader

Members will be notified each time they receive points in their account, and a

discussion will take place

Article I: Absence Policy

Each team member is required to attend every meeting. Meetings will be scheduled

every Wednesday morning at 7:30 a.m. Meetings will last for one hour. If there are to be

more meetings than the regularly scheduled meetings, team members will be notified in

advance. If a team member is going to be late or miss a meeting, the team leader must be

notified in advance.

Being late to two or more meetings without notification will result in a 10 point

deposit into that individual’s penalty account.

Missing any meeting without Team Leader notification will result in a 8 point

deposit into that individual’s penalty account for each occurrence.

Missing two or more meetings for any reason will result in a 10 point deposit

into that individual’s penalty account for each occurrence.

Missing an in-class work day will result in a 5 point deposit into that

individual’s penalty account for each occurrence.

If there is inclement weather, meetings can be canceled by the Team Leader ahead

of time to ensure the safety of the commuters.

If in the event that a meeting is canceled due to inclement weather, the meeting

will take place via the Facebook group.

Article II: Work Policy

Each team member will work to the best of his/her ability - making sure to complete

the work, ensure that it is up to standards, and it is completed with punctuality. Team

members committing plagiarism are solely responsible and incur the punishment on their

own. Work must be completed and turned in on time.

When work is completed it is to be passed on to Mallory or Vincent for editing.

At the completion of their editing they will pass work on to Chyenne for a final

edit. It will then be given to the entire group for a final review, and Amanda will

pass it along to Holly.

If a team member fails to meet a deadline, but turns in the work no later than 1

day after the deadline, there will be a 10 point deposit into that individual’s

penalty account.

If any of the editors receive work that they consider incomplete or poor quality

they may contact the team leader who will make a final decision. If the team

leader believes the work is incomplete, or of subpar quality, there will be an 8

point deposit into that individual’s penalty account.

If a team member fails to meet a deadline and doesn’t turn in anything, the team

member will receive a 20 point deposit into that individual’s penalty account.

Article III: Behavior

Each team member is expected to act with honor and integrity. Each team member

should behave in an appropriate and professional manner at all times (Especially when

meeting with the client). If the team leader believes a member has acted inappropriately,

there will be a 10 point deposit into that individual’s penalty account.

Article IV: Professional Attire

Each team member is expected to dress in professional attire when attending

meetings with the client, the event, as well as for presentations. All team members will be

expected to wear dress pants, a professional shirt that is free of stains and does not show

cleavage, and dress shoes. Suggested but not required are ties, blazers, and suits. Team

members are reminded that not only are their reputations on the line but also the

reputations of several important individuals throughout Mansfield University. Team

members should also wear appropriate jewelry and make-up.

If the team leader believes a team member shows up to a meeting with the

client, the event, or the presentation in inappropriate dress, there will be a 10

point deposit into that individual’s penalty account.

Article V: Member Dismissal

A team member can and will be dismissed if and only if they commit one of the

following:

Missing 4 or more meetings without notification

Missing 2 scheduled client meetings without notification

Missing 2 or more scheduled deadlines

Missing the event
