ePartConnection – Maintenance Screen Setup Procedure

Step 1: Login To The Parts Store Maintenance Screen To setup your ePartConnection, access the following web address

http://setup.epartconnection.com using any Internet browser. Enter your customer number that was assigned by Autologue into the Store Id field. Enter the password that was assigned by Autologue into the Password field.

Editing the Parts Store Maintenance Screen

Name and Address SectionWithin the “Name and Address” section of the screen, the system will automatically enter your name and address information. You have the option to enter additional information into any of the other fields listed that you would like to appear on the website.

"Part Order Policy" SectionThis determines whether a part can be added to the order or if the word “CALL” is displayed. If your policy is too restrictive, the service dealer will not be able to add parts to the order and will not be able to complete his estimate. Parts on the order without sufficient quantity will display a “delivery time warning” when the order is submitted.

Click on one of the four part policy selection options.

1. Any part number can be ordered (Part numbers not on file will display list price only)

2. Part number must be in file (Recommended) (Part Numbers not on file will display “Call”)

3. The part must be stocked (Okay) (Part Numbers not on file or zero order point will display “Call”)

4. The part must have sufficient quantity on hand (Too restrictive) (Part Numbers with insufficient QOH display “Call”)

"Always Show Quantity Option" Section

Click on one of the three always show quantity options.4

1. Show the actual quantity on hand (QOH)2. Use the vehicle quantity per Triad catalog as the minimum QOH, or Actual QOH,

whichever is greater (Always Have) 3. Use the vehicle quantity as QOH (Hide True QOH)

"AConneX Purchase Order Release Code" Section

Click on one of the three release code options.

1. Regular2. Expedite3. Will Call

Click on the Save Changes button.

Delivery Options

On this screen, you may customize the delivery options that will be displayed for your customers. You may use the defaults or create your own. Be sure to click on Submit to apply your changes.

Activant Catalog MCL Table Update NOTE: Only AConneX users must add at least one trading partner/Customer before you can upload your MCL table. Click on the Trading Partners button to add a customer. Use CAPITAL LETTERS when adding the customer number. Be sure to verify the customer number and password to your systems A/R number and password. After adding a customer, follow directions below.

Click on the Manage MCL in the large vertical blue bar on the left of the screen.

Click on the Upload MCL Table button to upload the MCL table information from your stores computer to the website.

Customers NOT Using Activant Catalog If you aren't currently a PartExpert™ customer, you must MANUALLY edit your

manufacturer's table.

Click on the Manage MCL button as described above.

From this screen, click on Edit MCL in the center of the screen.

Using the underlined alphabet, select each of your Manufacturers (both for STOCKED and NON-STOCKED lines), and enter YOUR manufacturer prefix code, as well as the priority you wish to assign that line (higher numbers are lower priority, this is the display order)

The Summary button will show you exactly what you have set up, after you finish. You can also edit selected lines from this screen (Line Code and Priority only. You can't add more lines from there)

Note the Directions on the first screen. Web Only customers are those with NO management system at all.

Truck Catalog The ability to set up your customers to use the Autologue Computer Systems Truck Catalog.

Manage Logo Button

Gives you the ability to upload your company logo image file into your web page. Follow these directions exactly with regards to sizing.

Customer Options

Gives you the ability to set up different criteria for individual customers.

Enable Labor Guide lookups for your Customers in the catalog.

Create an exception for a customer previously set up on the “Always Show Quantity Option” on the Main Maintenance screen.

Require that a PO number is used for a customer.

Independent Warehouse Stock Check

When activated, allows your customers to view your quantity on hand and your warehouse’s quantity on hand, provided your warehouse is also on ePartConnection.

You can also give your customers the ability to automatically order the part from the warehouse and ship it to you. An invoice will print at your location letting you know that the part is coming in from the warehouse for that particular customer.

Part Categories

Ability to display a list of Accessories, or any miscellaneous item that you sell, that are not cataloged items. You create the lists, and attach pictures of each item.

Click on the "Part Categories" section in the blue bar on the left of the setup screen.

You will be directed to the following screen;

From this screen you may add a new group. Type the name for the new group in the box labeled "New Group", near the top of the screen, then click "Add Group" to the right of your entry, as in the example below.

The screen will now change, showing your new group in the list, as below;

Now, we'll add parts to the group. Click on the "Edit Category" button on the line with the new group name, "Engines" in this example. You will be directed to the screen below;

Simply fill in the information for the part you're adding, Manufacturer Code, Part Number, and a description that will show instead of your inventory file description. Enter nothing in the description field if you want to use your inventory description. When done, click "Add Part", and you will see the following screen;

From this screen you may add pictures to your listing. Simply click the "Browse" button, locate the picture on your PC, and after you select it, click "Upload Picture". This will put the picture on the screen when that category and part is displayed.

***** NOTE ***** At the top of the screen is the "Display Mode" selection. "Large Picture Mode" will always display a 1 inch square box next to ALL parts. If you haven't uploaded pictures for ALL parts in ALL categories, select "Camera Icon" in this box. This will show a small camera icon next to the parts with pictures. The user must click on the icon to see the picture. A suggestion to find pictures of your products is to use Google search on the Internet, selecting the "Images" search. This will give you many pictures, all of which can be saved to your PC. Simply right-click the picture, and select "Save As", naming the picture to be saved.

After uploading the picture, the following screen will appear. Repeat this procedure until all parts have pictures.

Another useful feature is the ability to upload complete files to add to a category, possibly from a source like Excel. There are on-screen instructions for this procedure, as shown below;

Simply arrange the columns in your file to be imported as outlined in the instructions, save it to your PC, then use "browse" to find it and click "Import CSV File". You can click "View Sample Import File" to see how the file should be arranged.

If you have multiple stores, and want to duplicate your Part Categories in all your stores, simply assign the same password inside each store's setup in the box labled "Master ID:" that you used for the Main Store, where the categories were originally created.

After you have set up all your categories and uploaded pictures, if you choose, the page your customers see will look like the example below;

Managing Your "Hot Links"The "Hot Links" section of ePartConnection allows you to define different buttons that will appear on the first screen of ePartConnection, as in the screen below;

To set up this feature, from the setup screen, choose "Manage Your Hot Links" in the blue bar on the left, as in the screen below;

There are 3 options for setting up your Links. "Predefined Website" will place a button directing your customers to one of several

companies or data services that have been selected by Autologue for use in ePartConnection.

"Category Groups" are the parts you previously set up in the Part Category section discussed in the previous section. Use this to give quick access to a section such as in the example, "Monthly Specials".

"Custom Web Site" is a website of your choosing. It could be related to your business, it could be a friend's website, or ideally, it could be a company you have some sort of an arrangement with to make you more money! Use this feature sparingly, only choosing important links, as the screen could get cluttered with too many buttons.

If you select the "Shop Tools/Equip" option in Predefined Web Site, you must have a "Tool Web" ID. To get this, simply click on the link Tool Web Setup, get your ID, and enter it in the "Tool Web ID" box. Click "Save Changes to Your Links".

Simply click "Add a New Link Button" to open a new box to create a new link.

Set Up Procedures For The Autologue Computer System

Setting The Counterman Code & Printers Within The Autologue SystemThe next step is to setup a specific counterman code to use for the pick tickets generated through the website.

From the Autologue Main Menu, enter 4 (Counterman File) and press <Return>.

With the cursor positioned at the COUNTERMAN: prompt, enter the counterman code to use for Internet Sales and press <Return>.

With the cursor positioned at the NAME: prompt, enter a name (i.e. Internet Sales) and press <Return>.

With the cursor positioned at the INVOICE PRINTER #: prompt, enter the invoice printer number and press <Return>.

With the cursor positioned at the INTERIM PRINTER #: prompt, enter the interim printer number and press <Return>.

Press the <F10> (Record Changes) key to save the entered counterman code information.

Setting The Uservar Option Within The Autologue System From the Autologue Main Menu, enter 13 (System Commands) and press <Return>.

From the System Commands Menu, enter 9 (Specify System Setup Options) and press <Return>.

With the cursor positioned on the FILE menu option, press <Return>.

Using the down arrow key, position the cursor on the EDIT menu option and press <Return>.

Using the down arrow key, position the cursor on the AUTOLOGUE_CENTRAL menu option and press <Return>.

With the cursor positioned on the AC_Cntrmen menu option, press <Return>.

Press the <F3> (Activate/Edit) key and cursor will be positioned under the Value heading.

Enter the counterman code (Case Sensitive) you previously setup to use for Internet Sales and press <Return>.

Press the <F10> (Save) key to save the entered counterman code.

With the cursor positioned at the Are You Sure?: prompt, enter Y.

Press the <F5> (Section) key and position the cursor on the AUTOLOGUE_CENTRAL menu option and press <Return>.

Using the down arrow key, position the cursor on the AC_StoreId menu option and press <Return>.

Press the <F3> (Activate/Edit) key and cursor will be positioned under the Value heading.

Enter the assigned store ID number assigned from Autologue and press <Return>.

Press the <F5> (Section) key and position the cursor on the POS menu option and press <Return>.

Press the <F11> key three times and with the cursor positioned at the Are You Sure?: prompt, enter Y.

Press the <F11> key to exit back to the Autologue Main Menu.

Setting A Password Within The Autologue System From the Autologue Main Menu, enter 3 (Customer/Vendor File) and press <Return>.

With the cursor positioned at the ENTER NAME OR NUMBER prompt, enter the customer number for the dealer/installer and press <Return>.

With the customer’s information now being displayed, press the <F12> key and enter a password within the Customer Password pop up window and press <Return>.

Press the <F10> (Record Changes) key to save the entered password.

At this point your dealer/installer accounts are ready to use the ePartConnection.

From the System Control Menu, enter 1 (Communications Menu)

From the Communications menu, enter "zx" (ePartconnection setup)

Enter Store ID provided by ACS administration and press <Enter>

Enter 1 to enable ePartconnection and press <Enter>

Press <F2> key to exit back to the AIS Main Menu

Setting A Dealer/Installer Password Within The AIS System From the AIS Main Menu, enter 3 (Customer/Billing).

From the Customer Billing Menu, enter 1 (Customer Input).

Enter the customer number for the dealer/installer and press <Enter>.

Enter a password of up to 20 characters in length within the field on the top row of the third column and press <Enter>.

Press the <F2> key to exit back to the AIS Main Menu.

At this point your dealer/installer account is ready to use the ePartConnection.

Ultimate AConneX Setup Procedure

The following maintenance is required by the Ultimate Administrator for a customer to go through AConneX.

Setting The System Management Questions Relating To ePartConnection From the OE Menu, enter 16 (System Management).

Choose whether you want Hold Tickets or Picking Tickets to print when a customer sends an order from the ePart Catalog.

Choose whether you want to combine multiple orders on a single invoice.

At ANY CHANGE you can left arrow back to the OE Menu.

The hold or picking tickets will print on the same printer as all other hold or picking tickets that are not created from ePart.

Setting A Password Within The Datatron System From the AR Menu, enter 1 (Customer Maintenance Menu).

From the Customer Maintenance Menu, enter 1 (Customer Maintenance).

Enter 2 (Change/Inquire Customer(s)).

Enter the customer number of the customer you are setting up a password for or do a lookup on the customer.

Press the <Enter> key to go to the 2nd page.

Enter 10 (DLR TERMINAL PASSWD).

Enter in the password (a minimum of 3 digits and/or letters).

At ANY CHANGE you can left arrow out to the monitor dot.

Set up Procedures for Eclipse/AconneX System

message for Aconnex will be reported back to the user as an invalid account.

C.5 AConneX Specifics

This screen is accessed by pressing <Enter> or <Tab> from the C.5 Order Transmission Specifics Screen. It supplies information about the Eclipse platform to inquiry+ for orders placed through CCINET.

Disconnect timeout - Enter the number of seconds to wait for activity before disconnecting from the AConneX session.

Default supplier - Enter the Supplier code to be used as the default when inquiry+ first starts. This may be overridden at run time.

Display jobber price - Enter Y to allow the display of the jobber price and cost. Enter N to disallow the display of the jobber price and cost.

Jobber price password - Enter up to a 6 character password that will allow the user to see the jobber price and cost. If blank, inquiry+ will not require a password to see the jobber price and cost.

M.2 AConneX Specifics

This screen is accessed by pressing <Enter> or <Tab> from the M.2 Order Transmission Specifics Screen. It supplies information about the suppliers/vendors to inquiry+ for orders placed through CCINET.

Vendor type - This specifies the type of system at the supplier.

Use <F6-List> to select the type of system the supplier has.<A> - A-DIS<J> - J-CON<P> - Prism<U> - Ultimate<E> - Eclipse

Backorder/Cancel code - The default backorder/cancel code for this supplier. Enter <B> to backorder an item if there is insufficient quantity. Enter <C> to cancel the item. Note that this can be overridden for each line item ordered.

DSID - Enter the 6 digit Destination system ID of the supplier.

Prism AConneX Setup Procedure

Outlined is an overview of what Prism customer’s have to do to their management system in order to receive E-Store Orders:

1. The customer’s system must be on at least release 12.1. (Otherwise you will need to enter Line Code on Stock Check Screen, plus the system will run faster)

2. A high speed internet connection should be setup with an ISP. (Static IP address)3. Get setup with an account and ID # through the following web address

http://www.aconnex.com.4. Get setup with an account login number and password with Autologue for

ePartConnection. Refer to the “ePartConnection Jobber Setup Procedure” documentation.

5. The Prism system has to have the following: AConneX software for installers needs to be licensed and enabled in

SYSOFT on the Prism.  Contact Activant to ensure this. A network card must be installed, configured and tested so it can talk to

the router. Contact Activant to accomplish this. The router needs to have ports 55565 & 55547 forwarded to 192.168.1.2

(Prism CPU most of the time unless someone changed the default setting in SYDEV on the Prism). Contact Activant to accomplish this.

To test the network card and router to see if the Prism can find the router, on the Prism press the OPTIONS key and enter SYDEV. Arrow down to NETWORK CARD and press the F7(Next Screen), arrow down to 192.168.1.0 and Press F7 again, on the next  screen hightlight the router IP 192.168.1.2 and press the F2 key to PING the router.  If it does not PING the router, the network card or the router ports are not set up correctly. Contact Activant if necessary.

6. Setup trading partner accounts as follows:

This is a brief description of how to set up for AConneX orders.  Remember some of these screens will only be available after the appropriate software has been turned on in SYSOFT and initialized or turned on. The following programs can be accessed on the Prism by pressing the <OPTIONS> key and entering the program.

1. SYSOFT

There are a few additional SYSOFT options that must be turned on and initialized in order to act as a server (Supplying Locations) for other clients.  Check to make sure the following are Licensed and Enabled.

There are two screens that must be completed to receive orders from other systems via AConneX.

Local System Information Local System Name.  The customer number on the PRISM system

(@[email protected]) Local Node ID – This must be assigned by an advice line agent. Iconnect Server Address – www.iconnect.aconnex.com Network Daemon port – 55565 Number of network resources – 10 (default) Maximum file transfer sessions – 1 – (default)  This should be changed

appropriately Maximum inquiry sessions – 10 (default) This should be changed appropriately

 

Resource Pool Screen Resource pool name – usually “gateway” is used Resource Type - iConnect for AConneX Both IMH & FH handlers must be enabled

 3. IVCP Make sure that you setup a pricing plan to be used by the E-Store Customers system.  If you would like them to receive a term mark up or mark down, you can enter an amount in the “Telepart Orders Price Adjustment” field.

4. ARCUST

Add a customer number, if one does not already exist, making sure to assign the IVCP plan from above.  The customer must be a CHG customer, use a Charge status of “C” and have an available balance to place orders.

5 SYSEC

Add a separate security plan, similar to the telepart plans, which will allow you to change security for the E-Store user without affecting the telepart users.  They must have a minimum of the following:

INVOICE – IVS (Check the Invoicing section while in SYSEC)

Accept (Type1) A/R chargesAllow Cancel of Non-final DocsCreate Final Documents (or document type you prefer)Display Outside Trading groups (this will allow the E-Store user to view inventory from all locations)Display Price X (whichever price field or fields you would like to display)Display QTY’s as a Y or NSell outside trading groups (this will allow the E-Store user to order from all locations regardless of trading group)Sell from other locations (this will allow the E-Store user to order from all locations)

1. Add a user id It is usually easiest to use “a” followed by the first 4 letters of the customer number (example Cust # 1234 using AConneX would have a user id of “a1234”).

Add a Telecom user ID to be assigned to the SYUSR through IVCCON

As soon as the <add> key is hit, the Telecom user ID and customer number fields will be filled in automatically based on the other setups.  Confirm that everything looks correct.

10. CTPLAN

Display the user ID that links to the E-Store connection ID above.  Make sure that the proper CTLINE plan ID is assigned.  The CTLINE assigned will control which information to send in the MCL file to be viewed on the E-Store catalog information.

11. IVSECODE

The IVSECODE should be set properly in order for the E-Store system to connect and do an MCL download.  This is a “field service only” screen and the assistance of the advice line is needed.

12. Misc.

If you intend for the E-Store software to look at alternate parts you will need to make sure your PRISM system is on release 11.1.1.49 or higher. You will also need to setup INAPN and/or INSUB screens for the alternates or subs.

13.    AConneX Registration

You must register on www.aconnex.com with the correct node ID as assigned by a PRISM advice line agent.You must register each inventory location in your system that will act as a warehouse to the E-Store customer.Once all locations have been registered, the E-Store representative can set up the trading relationships.  Trading relationships must be set up for each location on the same node ID.  This means that if the PRISM has 2 locations that the E-Store customer will be in communication with, there will be 2 relationships set up.

*   NOTE:  During the registration process, the warehouse (location) number is extremely important.  This should be the location where the invoice will be created.  For E-Stores the location settings in SYCPR are strictly used to confirm the customer number exists (in the A/R group).  The invoicing location used comes from the registered location.

Web Only Setup Procedure

Step 1: Login To The Part Store Maintenance Screen To setup your ePartConnection, access the following web address

Enter your customer number that was assigned by Autologue into the Store Id field. Enter the password that was assigned by Autologue into the Password field.

Editing the Part Store Maintenance Screen

Name and Address SectionWithin the “Name and Address” section of the screen, the system will automatically enter your name and address information. You have the option to enter additional information into any of the other fields listed that you would like to appear on the website.

Part Policy SectionThis determines whether a part can be added to the order or if the word “CALL” is displayed. If your policy is too restrictive, the service dealer will not be able to add parts to the order and will not be able to complete his estimate. Parts on the order without sufficient quantity will display a “delivery time warning” when the order is submitted.

Click on one of the four part policy selection options.

5. Any displayed part can be ordered (Accurate pricing not available)6. The part must be in the parts store inventory file (Recommended)7. The part must be stocked (Okay)8. The part must have sufficient quantity on hand (Too restrictive)

Always Show Quantity Option Section Click on one of the three always show quantity options.

4. Show the actual quantity on hand (QOH)5. Use the vehicle quantity as the minimum QOH (Always Have)6. Use the vehicle quantity as QOH (Hide True QOH)

Click on the Save Changes button.

Manage Logo ButtonAt the top of the screen there is a Manage Logo button. This is used to allow you to upload your company logo image file into your web page.

Step 2: Setting Up Dealer Accounts Click on the Trading Partners button.

Click on the Add Customer button.

Enter a unique customer number, password, customer name and phone number.

Click on the Save Changes button to save the account added.

Click on the Home button to return to the maintenance screen.

Step 3: Setting Up The MCL Table Click on the MCL Edit button to define what manufacturer’s the catalog will display.

Click on the beginning letter or number of the manufacturer you would like to setup.

The screen will display all the manufacturer’s available within the catalog for letter or number clicked on.

Place Order

Displays selected workorder.

Gives you the ability to enter a “Purchase Order Number, select “Delivery

Options” and add any “Order Comments” before finalizing the workorder.
