THE MAKING OF VALUE SCORES AT UCI “It depends!”

Page 4: The Value of Value Scores: Accessioning with the UC Guidelines

USER INTEREST Strategy:• Consult departmental quarterly reports

From “Quarterly report for Special Collections and Archives, October 1 – December 23, 2013”

USER INTERESTa.k.a. Ask Steve! (he knows everything)

Strategy:• Consult your colleagues

Steve MacLeod, Special Collections and Archives Public Services Librarian

INSTITUTIONAL VALUE Strategies: Consider…• Campus and library-wide initiatives

and events• Influential stakeholders• Academic strengths• Collecting priorities

Interest in university archives

High institutional value

Page 8: The Value of Value Scores: Accessioning with the UC Guidelines

RESEARCH VALUE Strategies:• Look at informational value (i.e. record genres/forms)• Learn something about the creator, such as…

- Professional standing and accomplishments- What other institutions are doing about them- What else is out there

Page 9: The Value of Value Scores: Accessioning with the UC Guidelines

OBJECT VALUE Strategies: Consider…• Original works of art • Physicality as context

- Effect of physical carriers on experience and interpretation- Inscriptions or other markings of intrinsic and/or

informational value

DOCUMENTING VALUE SCORES (It’s all in the accession

record)

WORKING WITH MULTIPLE ACCESSIONSWith no value scores:

Accession #1Accession #2Accession #3

With previously assigned value scores:

Accession #1 Accession #2 Accession #3

Assign one value score for whole collection

Use highest value score for whole collection

ACCESSIONING AS PROCESSING• Accessions of < or = 1 linear foot• Tiny additions to processed collections• No value score

Accession 2013.028 Oscar M. Henry diaries (addition, 0.1 linear ft.)

THE METRICS FACTOR

UCI Libraries Archival Processing Metrics Worksheet

Tabs for each processing level

Page 15: The Value of Value Scores: Accessioning with the UC Guidelines

MINIMAL PROCESSING• Box-level inventory in scope/content

OR• Supplemental PDF

• Collections with 4 – 5 value score• Additional elements required for processed collections:- Acquisition Information- Processing History- Admin/Biographical History- Arrangement

• Access points

VALUE SCORES AND PROCESSING PLANS The beginning of a

A FORMAT TO MATCH THE GUIDELINES

Chart from UCI’s processing plan template for documenting tasks planned for each level of effort/control used.

From UC Guidelines Section 3.A. Chart outlining tasks for different levels of effort/control.

Use this chart to document specific physical and intellectual tasks you plan to perform at designated processing levels. Refer to the activities listed in Section 4.4 of the Processing Manual for guidance. Each component level listed in your arrangement plan should be represented. For components with

subcomponents (i.e. subseries) use the lowest levels of arrangement. This will help you document processing metrics.

If working at Moderate, Intensive, or Highly Intensive levels, use the parent series or subseries title and indicate “series” or “subseries” in parentheses.

Estimate the total number of linear feet for each component; the total should equal the linear footage of the collection.

Use the “Notes” field to document any deviations from the prescribed processing levels. Add or subtract rows as needed. Adjust column widths for greater readability as needed.

A RUNNING HEAD START FOR PROCESSORSQuestions answered at the beginning of the archival workflow: • The priority a collection should receive• What level of effort/control should be used for processing

Page 19: The Value of Value Scores: Accessioning with the UC Guidelines

THE FUTURE OF VALUE SCORES It’s a big world out there!

Page 20: The Value of Value Scores: Accessioning with the UC Guidelines

OH THE POSSIBILITIES…• Grant application planning• Lobbying for operational resources• Reappraisal and deaccessioning

From UC Guidelines Section 3C. Average processing rate (hours per linear foot) given level of processing effort and condition of the materials.
