Preface
The Firetod Video Conferencing System is a set of professional multimedia Firetod communications software. Integrating Firetod office, instant messaging, video conference, work management, data share, and file storage, the system provides users with interregional instant communications, interactive collaboration, and online establishment of orderly organization structures and work management system. With the system, users can easily conduct multi-side distant communications, management and coordination, optimize user information structures, and improve overall efficiency at home.

Product OverviewIn the system, a platform with a brand new structure is adopted, and the cluster technology is used for video conference for the first time. With the advanced H.264 encoding technology, the system can realize full HD videos of 1080p at 25 frames, support hi-fi speed concurrency at 20 frames, and integrate the most powerful data collaboration functions in the industry. In addition, through a variety of conference mechanisms, it can exercise flexible control, ensuring that the video, speed, data collaboration and conference management (four indicators) fully satisfy users’ needs, and greatly improving conference efficiency!
Adopting the user-oriented design and development concept, the system presents a fresh experience in system structure, overall performance, and user interface design. It helps users establish a smooth and steady platform for video conference and Firetod office in a fast manner, and provides users with functions such as audio/video conference, data exchange, remote share and collaboration. Optimal functions can be realized in Firetod office, trans-regional conference, and business training, thus effectively saving time and reducing communications costs.

I. Install and Uninstall1. Install Firetod Video Conferencing System
(1) Double click the setup procedure to enter the setup wizard, select install language version, and then click “Next” to continue (Figure 1-1-1).

(1) Select “Firetod Video Conferencing System” from the “Start” menu (Figure 1-2-1)

system desktop to start the program.

(2) Enter Server Address, Account, and Password, and then click “Sign In”. (Figure 2-1-1).

2. Written Communication
(1) Open the dialog window of a contact, and conduct point-to-point communications with the person. In the text-entry area, users can input or compile text messages or adjust the font, color and size of the texts. After text input, users can click [Send] to send messages to the other party and the messages will be displayed in the text-entry area (Figure 6-2-1).

A message can be sent by choosing “Press Enter to send message” or “Press Ctrl + Enter to send message” (Figure 6-2-2)

(2) Click the [Invite] button and add contacts into the “Select Department/Staff” dialog box. You may add several contacts for written communications. For a conversation among multiple persons, the list on the right side can display all participants (Figure 6-2-3).

(3) For a conversation among multiple persons, you can select a person in the list for conversation, or you can also click “Group Sending Files” to send files among the discussion group. At the current text meeting, you can specify the conference room, send a meeting notice and invite all people to the conference room by clicking “Meeting Notice” (Figure 6-2-4).

(1) Open the dialog window, click [Switch] (Figure 6-3-1), and the properties of Switch will be displayed for selection. Select an object (Figure 6-3-2).

Chapter I. Terms and Interpretations
I. User IdentityAll meeting attendants are called users. In the video conferencing system, users can be divided into conference administrator, temporary administrator and ordinary participant by identity.
1. Conference Administrator
The Conference Administrator shall be the user boasting the highest authority in the conference room. This identity can be set in the conference room management system.
2. Temporary Administrator
The Temporary Administrator shall be the user boasting the highest authority after the Conference Administrator. This identity can be set in the conference room by the conference administrator or achieved by entering the correct password (refer to password application for administrators). It becomes invalid as soon as the user leaves the conference room.
3. Ordinary Participant

II. Operational AuthorityTwo kinds of authority in the video conferencing system: speech and data control
1. Speech Authority
Users have the authority to use the microphone for speech.
2. Data Control Authority
In the conference room, users have the authority to operate the electronic whiteboard, screen share, file share, co-browsing, media play, conference voting, and conference sync.
III.Conference ModeIn the video conferencing system, there are two conference modes: free discussion and centralized management, which are set by the conference administrator or the temporary administrator.

1. Free Discussion Mode
At the conference of free discussion mode, users’ speech and data control are controlled freely by the user. When the user is applying for speaking, and if the number of speakers has reached the upper limit, the pending status will be displayed. When someone stops speaking, the system will approve in a chronological order.
There is no number limitation on data control.
2. Centralized Management Mode
In the centralized management mode, all authority will be controlled by the conference administrator or temporary administrator.

Chapter III. Conference Room Interface
After being certified by the system, users can enter the conference room. The system provides users with a simple, practical operating environment, reasonable regional layout, and effective utilization of each function of the system. The main interface of the system is shown in Figure 3-1-1.

1. On the title bar, there are the name of conference room of the current user, number of online users/max users, meeting mode, the starting time and end time of conference room.
2. The menu bar is composed of 7 items: “Conference”, “Display mode”, “Operate”, “Participants”, “Conference manage”, “Call” and “Help”.
3. The staff list shows the list of meeting attendants, users’ authority and status.
4. Local control is composed of 6 items: Apply dataOp/CancelDataOp, Apply speak/Stop speak, Start Sync/Stop Sync, Record/Stop record, Forbid video/Allow video, and Display
5. The data control area is composed of “Whiteboard” page, “Screen share” page, “File share” page, “Co-browsing” page, “Vote” page and “Media play” page. Click the page label to switch.
6. The text conference area shows the chatting information and system news.
7. The video area shows the window of the speaker, as well as the video window and the polling window of the current user.

1. The staff list mainly shows the list of attendants, their identities, video and audio status, and their operational status of main conferencing functions (Figure 4-1-1).

Local control includes: Apply dataOp, Apply speak, Start Sync, Record, Forbid video, and Display (Figure 5-1-1).

I. Apply for Data ControlUnder the mode of free discussion, after applying for data control, the users will automatically access to operation authority such as electronic whiteboard, screen share, file share, co-browsing, media play, conference voting, and conference sync; under the mode of centralized management, after clicking, users enter application status. At this time, the operation authority is required to be conferred on by the conference administrator or temporary administrator.
II. Apply for SpeakingUnder the mode of free discussion, if the number of speakers in the conference room does not reach the upper limit at the time of application, the authority to speak will be automatically obtained. Otherwise, the application will be pending. In this case, when others stop speaking, the system will automatically approve application in order; under the mode of centralized management, users will enter the application status; at this time, the operation authority is required to be conferred on by the conference administrator or temporary administrator.
III. Start Conference SyncUsers with data control authority can perform the function of conference sync, showing local data and video to other users in a synchronic manner.

IV. Record ConferenceConference record is consisted of two modes: full screen record and module record.

[Effect]: To set the effect of video playback, including [Clear] and [Ordinary]
[Frames]: To set the number of frames per second, ranging from 1 to 5 frames
[Recording Format]: Under the mode of full screen record, the format is WMV by default
Note: Windows Media Encoder is required for recording in your computer.
(2) Module record
[Recording area]: Any selection of [Audio+Video+Whiteboard+Screen share+Media Play+Text Chat]
[Recording Format]: The recording format under the mode of module record is SMVX.
[Server record sync]: Server record sync can be ticked depending on administrator’s settings.
(3) Save of recorded files
[Name]: the name of the recorded file, by default, shall be [conference room name+recording time] (for instance: Product Department Conference Meeting 20080802144945.smv), which can be input manually by the user.
[Path]: The path to save the recorded file, by default, shall be [My Documents]

V. Forbid All VideosBy clicking [Forbid video], users can stop receiving videos from other users in the conference room. Click it again, users can restore receipt.
VI. Display Mode

(1) 6 display modes are available in the video conferencing system:
A. Default mode: all function areas will be shown on the interface.
B. Tile mode: the video area, hidden data control area, text conference area and videos will be displayed.
C. Automatic split-screen mode: mainly display the video area, hidden data control area, and text conference area. Under this mode, the system will distribute the areas evenly depending on the number of video windows.
D. Important video mode 1 (L shape): mainly display the video area, hidden data control area, and text conference area. Under this mode, the video in Frame 1 is bigger, while the others are evenly distributed in L shape.
E. Important video mode 2 (reverse L shape): mainly display the video area, hidden data control area, and text conference area. Under this mode, the video in Frame 1 is bigger, while the others are evenly distributed in reverse L shape.
F. Important video mode 3 (Hollow shape): mainly display the video area, hidden data control area, and text conference area. Under this mode, the video in Frame 1 is bigger, while the others are evenly distributed in hollow shape.

(3) [Full screen]:
A. full-screen display of the current mode;
B. in the split-screen mode, available for all data modules
(4) [Video loop]: the function of video loop (refer to Video Loop for details);
(5) [Dual-screen display]: under this mode, the system will display the conference operation area and the video area in two display devices. The display card that supports dual-screen display and two separated display devices are required under this mode (monitor, projector or TV set).
(6) [Video title bar display setting]: the video title bar can be displayed or hidden in the menu of the display mode (Figure 5-6-2);

(7) [Local video fill mode]: Depending on actual demand, different video fill modes (automatic fill, maintaining original proportion, and level fill) can be set in the display mode menu for displays of different display proportion. The default mode shall be Auto Fill (Figure 5-6-3).

Chapter VI. Video Loop
With this function, the system will automatically display all windows which can be normally displayed in a loop manner. The video loop is consisted of the following 2 loop manners: All people loop commonly and Group loop.
I. All People Loop Commonly

[Select number of loop windows]: The number of video windows for each loop cannot exceed the maximum number of videos permitted by the conference meeting. Manual input is supported.
[Speaker of full screen of loop window]: By default, no loop speaker video will be displayed. Under the full screen mode, loop speaker video will be displayed

To stop the function of [video loop], click the [Display] menu item (“stop using video loop” will appear). All loop windows will be automatically closed; users may also manually close the loop window. When all loop windows are closed, video loop will be terminated.

I. Message Echo Area(1) The messages sent by the user will be displayed here;
(2) User can click the nickname with hyperlink to add chatting objects. If you click your nickname, your chatting object does not change; when you click the name of the user who has left the conference room, a prompt reading “the user has left the conference room!” will appear, and the chatting object remains unchanged;
(3) The following system news will appear only in the “public group”:
A. The administrator changes the meeting to the centralized management mode / free discussion mode!
B. The conference meeting has been locked / unlocked!
C. All users are allowed to record meetings / text meetings, and to browse the video of non-speaker!
D. Only the administrator is allowed to record meetings / text meetings, and to browse the video of non-speaker!

(4) Users who have just attended the meeting cannot get access to previous chatting records.

(2) Under the drop-down menu of staff selection are online users in all conference rooms. By default, “all users” are ticked;
(3) When the chatting objects selected in the local users have left the conference meeting and in local users, and if no other chatting objects have been selected nor any message has been sent, in the combo box a prompt will appear reading “notice: send operation failed! The user has left the conference room!” Then, the chatting objects will be switched to “all users”.
(4) For local users in the staff list, click online users to set them as chatting objects, the interlocking display will appear.
III. Private Chat(1) Chat information is consisted of public information and private information.
Public chat information is open and visible to all users; click “Private Chat”, and chat information will become private information and will be visible to specified chatting objects.
(2) When the chatting object is “all users”, [Private] is not available.
(3) When the chatting objects selected in the local users have left the conference meeting and in local users, and if no other chatting objects have been selected nor any message has been sent, the chatting object will be switched to “All”, and [Private] cannot be cancelled.
IV. Font(1) Modify the font in the entry area. No multi-font setting is supported.
(2) Click to pop out the “Font” dialog box (Figure 8-4-1).

Like the whiteboard in the traditional conference meeting, the electronic whiteboard can be used by users for writing, drawing and marking.

Users are required to obtain data control authority before using and operating the electronic whiteboard. The video conferencing system supports multi-whiteboard operation. Users can create many whiteboards and switch among them and operate.
On the whiteboard wizard page, users can click [New whiteboard] to create a blank whiteboard. A [New whiteboard] dialog box will pop out when you click it for the first time (Figure 9-1-1).

You can manually enter the name, width and height of your new whiteboard and select whether to pop out the dialog box next time. If you click [Do not show next time], no dialog box will pop out next time when you create a new whiteboard. If you want to restore it, you can reset it by clicking [Setup]. You can upload different types of files by clicking [Upload PPTdocument], [Upload WORD document], [Upload EXCEL document], [Upload image document], or [Upload other type document]. After creating a new whiteboard or upload files, you can perform other whiteboard operations (Figure 9-1-2).

Users in the conference room can share its computer operation with other users. To get access to screen share, users are required to obtain data control authority.
(1) Click the button to pop out the [Start Sharing] dialog box (Figure
10-1-1).

You can select [DesktopShare] or [ProgramShare].
[DesktopShare]: share all information and operation in your desktop with other users.
[ProgramShare]: only share the program selected by the user with other users.
Click to switch to and click it again to stop screen share.
Note: at the time of screen share, all videos will be automatically terminated to increase the share speed and restored after screen share.
You can mark presentation on the screen with the tool and right click the mouse
to exit tool presentation.
(2) You can set share effect by clicking , including 8-bit color, 16-
bit color, and 24-bit color (Figure 10-1-2). Note: the small the bit color is, the less the bandwidth used.

File share: users can upload local files or download files uploaded by other users for sharing and exercise corresponding management. For file share, users are required to obtain data control authority. File share interface is shown in Figure 11-1-1.

Chapter XII. Conference Voting
Voting can be performed in the conference room of the video conferencing system. Users can create the theme for voting and its property (multiple voting or single voting, registered voting or secret ballot, voting time). After setting, voting can be issued to all users. Users will select voting options on the voting page, submit voting and complete the operation. Detailed voting process is shown below:
I. Edit Voting Questionnaires The video conferencing system provides two methods to edit voting questionnaires:
(1) Edit through starting system menu
Before the conference, you can edit the issue to be voted and save it a file. At the conference, you can directly import it to the voting system of the client. The voting editor is a kind of software independent of the video conferencing system client. Click “Start”, select the “video conferencing system” under the “Program” menu, and click “Sgvoteedit” to start the program of the voting editor. After the program is started, you can create one or more questionnaires on this page (Figure 12-1-1).

The video area is an area to display the video window. Each video window has corresponding control buttons. Video windows are arranged in the order of speakers and clicks. The more the number of videos is played, the higher CPU utilization is. When conference sync is conducted, other users can not get access to the videos of other users.

The local video shows the effect of collection of local videos. By returning to the video, you will simulate the video effect in the actual meeting transferred through the server.

(1) Select the video device to be used at the conference and assign a main video device. In the list of video devices, select a frame of video device, click [main device] to set the selected video as the main video.
(2) The resolution and frame of the video device selected can be set. The higher the setting is, the higher the bandwidth will be.
(3) For video devices with tilts, their tilts can also be set.
2. Audio Setting
You can speak in the conference room. Audio devices can be set as below (Figure 15-1-3).

4. Change Language
You can select “Language” under the system menu “Conference” to switch the system language of the conference (Figure 15-1-5). The language will not be valid until you enter the conference room again after switching.

Automatic rollcall mode: enter the rollcall operating page (automatically by default), and select the users for rollcall (users not called, select all, cancel all). III. FAQ
Q: How to switch the video lens in all directions during the conference?
A: The PTZ Camera can be connected to the video system. For video switch, feature and focus control, a remote control can be provided. In addition, the administrator can control the operating system with the mouse, remote control the rotation of the PTZ camera, and debug video resolution.
Q: Do we have to adjust the voice and video before each conference?
A: Generally speaking, when the system is used for the first time, you should debug it in an all-round way. No further debugging will be required in the future. However, to ensure the effect of the conference, it is recommended that you adjust it several minutes before each conference. In addition, during the conference, the administrator can perform remote control over the audio and video, which is very easy and convenient.
Q: When a user is speaking in a conference hall, users in other conference halls hear nothing. Why?
A: First, please check your local microphone and computer sound card to ensure correct connection. Meanwhile, check your input volume; in addition, in the system, only the “Chairman” can speak. If you are not “Chairman”, please click “Apply for speaking” to become the chairman. After becoming the chairman, you can see green wave bars on the video window indicating your speech.
Q: I cannot hear other’s voice at the meeting, why?
A: If you cannot hear anything but can see the green wave bars on the video window, something must be wrong with the voice output of your company. Please check your earplugs connected to your sound card or your sound box to ensure correct connection, suitable volume and availablity.
Q: I cannot see my video image, why?
A: Firstly, check your camera to ensure its proper connection with your computer, correct Install of camera drive, and correct operation; secondly, check to ensure that the camera is not used by any program, for the camera can only be used by a single program at one time. If all these fail, please try logging in the system again.

Q: The server cannot be connected when I log in, why?
A: Something is wrong with your network. For instance, it might be that the network administrator has restricted your access to it; or maybe you have a personal firewall installed on your computer, which restricts the use of the port; in addition, users with proxy server should provide proxy information for correct login. These can be assisted by the network administrator.
Q: How to gain videos at two frames or above?
A: This system can capture up to 8 frames of local movie. When the multi-frame video capture card and drive are installed in your computer, you can perform multi-frame capture and display it in the video conferencing system. You can also selectively set the videos to be displayed.
