DEFINITIONS

The Convention Industry Council's was defined the definition of MICE as follow (The Convention Industry Council's, 2005);

M = Meetings, An event where the primary activity of the attendees is to attend educational sessions, participate in meetings/discussions, socialize, or attend other organized events. Basically, there are three categories of meeting. 1. Association Meeting, which are usually of a practical or technical nature and are related to individual trade association, professional societies or academic institutions. 2. Corporate Meeting, which businesses use to communicate with staff and distributors. 3. Government Meeting, which the governors from all over the world are participated. For example; WTO, APEC and IMF conferences.

DEFINITIONS (cont.) I = Incentive, a travel reward given by companies to employees who stimulate productivity. Also known as an incentive trip or incentive travel. C = Convention, convention is an assembly of persons who have met for a common purpose. Conventions are often held annually, this call for more intensive planning it organizes not only the business of the convention, but also an extensive social program. Basically, there are three categories of conventions. 1. Convention refers to the big meeting, regularly used in USA 2. Congress refers to the big meeting, regularly used in European countries and the Commonwealth generally related to politics, the assemblies especially the official assembly. In USA, the Congress refers to US parliament. 3. Conference refers to the big meeting that may last for several days with hundreds or thousands of participants around the world. Normally the conference is accompanied by the exhibitions, shows or other activities.

E = Exhibition, An event at where products and services are displayed. The primary activity of attendees is visiting exhibits on the show floor. These events focus primarily on business-to-business (B2B) relationships. Moreover exhibition can mean a display of products or promotional materials for the purposes of public relations, sales and/or marketing. Basically, there are two categories of exhibitions. 1. Trade Show, exhibits of products and services targeted to a specific clientele and not open to the public. 2. Consumer Show, exhibits of products and services targeted to the public and general.

Hotels are the main

suppliers of MICE and are

the main beneficiaries as

well. Business travelers

who attend MICE events

spend over 65% of their

money on hotels for

rooms and hotel dining

while 15% is spent on

other restaurants outside

the hotel. Around 10% is

spent on shopping and

another 10% on local

transportation.

Roles of Hotels

One of the most common sites for a MICE event is a hotel. Hotels

can provide facilities, space and function rooms for MICE activities;

accommodations, the housing of the business travelers who attend

the MICE event; and food and beverage services at the event, as

well as meals for travelers who stay in the hotel. Typical hotels have

accommodation rooms, restaurants, ballrooms, meeting rooms,

swimming pools, a business center and more. In relation to MICE

activities, a hotel plays different roles depending on its facilities and

the size of the MICE event:

and set-up, ranging from a small

meeting room for 10 people to a

large theatre for thousands.

of a MICE event.

Accommodation

When providing housing for business

travelers to stay during the MICE

event, the hotel will have the following

services for the delegates, the

business travelers who attend the

MICE event; and entourage, persons

who travel with the delegates, usually

the spouse, children, personal

assistants, secretaries etc.

Other than supplying meals

such as breakfasts, lunches,

afternoon teas and dinner

banquets for different

sessions included in a MICE

event program, a hotel can

also provide delegates and

entourages with food and

beverages through its

restaurants, cafes and coffee

shops, as well as through

room service.

public organization established by Royal Decree published in

the Royal Gazette on 28th September 2002.TCEB has been in

CONTRACTS

Today, all hotel and convention facilities have legal departments

that do just that. In recent years the numbers of lawsuits brought

by hotels against groups that fail to fully utilize their room block

has escalated. This is known as attrition (more on this subject

later in this chapter).

The four standard contract contents required elements are

• The offer

• The acceptance

• The obligation

• The consideration (usually monetary)

DIFFERENCES BETWEEN A TENTATIVE

PROPOSAL AND A FINAL CONTRACT

• All negotiated written and verbal amendments agreed to by the

parties will now be drawn up into a new document a contract.

• The final contract will have language make by the legal

department, which clearly spells out the enforceable

obligations required by each party.

• In the contract all additional changes are initialed and signed.

Figure 7.3 is a sample of a hotel group contract, with sections

that cover many key negotiated areas of concern to both buyer

and seller.

ROOM BLOCKS

The group room block commitment is included as part of the final

contract. This section of the form should always include the

following:

• Dates the meeting function space is being held

• Room rates for each room type being held (room block)

• Number of each type of room being held (room block)

• Date the room block will be released (rate no longer available)

• Penalties, fees resulting from unused rooms in block—not

released

• Sliding scale of charges applicable for each time period block not

utilized

• Meeting room rental fees directly tied to the number of guest

(sleeping) rooms utilized by the group hotel. Both large and small

meeting convention groups agreed to this method, primarily

because they did not want to pay for meeting space rental.

NEGOTIATION

• The objective of a negotiation is for two or more parties to try to

reach an agreement for mutual benefit. A common business

phrase used stated that the outcome of a successful

negotiation was a “win-win situation.” In other words, each

party benefited.

• This would seem to indicate that both parties have some areas

where they may be more flexible, while others are mostly

nonnegotiable, depending on whether it is a buyer’s or seller’s

market.

BANQUET MENU PRICING

• Planning for future events, experts suggest building a 10 to 15

percent cushion into their food budgets. If contacted in

advance, the executive chef often is willing to customize a

menu that may actually be lower in cost than those listed on

the standard banquet menus.

• According to the Convention Industry Council (CIC), a

Banquet Event Order (BEO) is the form most often used by

hotels to provide details to personnel concerned with a

specific food and beverage function or an event room

setup. Increasingly, it is also being called an Event Order

or a Function Sheet. Regardless of the name used, this

has become a standardized form used industrywide.The

form in Figure 8.6 is a sample of one used by Omni Hotels.

ISO 20121: Event Sustainability Management System

ISO 20121 is a management system standard that has been designed to help organisations in the events industry

improves the sustainability of their event related activities, products and services. ISO 20121 is based on the earlier

British Standard called ‘BS 8901 Specification for a Sustainability Management System for Events’ which was first

developed in 2007. Due to the high level interest in BS 8901, it was decided to create an international version of the

standard to coincide with the London 2012 Olympics.

In simple terms, ISO 20121 describes the building blocks of a management system that will help any event related

organisation to:

o Continue to be financially successful

o Become more socially responsible

o Reduce its environmental footprint

ISO 20121 applies to all types and sizes of organisation involved in the events industry – from caterers, lighting and

sound engineers, security companies, stage builders and venues to independent event organisers and corporate and

public sector event teams. Organisations that successfully implement the standard will be able to seek independent

recognition of their achievement through a process called ‘Certification’.

What are the benefits of ISO 20121? As ISO 20121 is simply a business management framework, adopting it can bring a number of internal benefits to an

organisation including:

o Clarity of purpose and strategy resulting in a more energised and aligned workforce

o More integrated management and joined up thinking resulting in improved efficiencies and stronger

teamwork

o Simpler, clearer and more effective systems and processes

Our experience has shown that the standard is particularly useful for smaller organisations as it provides a robust

framework for running a business as well as standardised procedures and processes which enable the rapid

integration of new staff.

ISO 20121 challenges “business as usual” and drives creativity and innovation which in turn can provide

organisations with a competitive edge.

ISO 20121 Certification Organisations can seek independent certification (often mistakenly called 'accreditation) to ISO 20121 in order to

demonstrate that they meet the requirements of the standard. During the certification process, the certifier inspects

your management system and interviews key personnel in order to verify that your management system:

o Is designed in accordance with ISO 20121

o Is operating effectively

Evidence needs to be sufficient to demonstrate that the event sustainability management system is an integral part

of the event management process and not an additional “add-on” component. As long as there are no major

problems (or non-conformities) then you will be issued with a Certificate of Conformance to ISO 20121.

What are the benefits of ISO 20121 Certification? One of the key benefits of ISO 20121 certification is that it will enable an organisation to differentiate itself in the

marketplace and hence improve their chance of winning new business. Major public sector and private sector

clients are referencing ISO 20121 in their tender documents as they work to ensure that their own sustainability

policies are being implemented. In time, demonstrating compliance to ISO 20121 is likely to become a minimum

requirement for anyone wishing to operate in the events industry as event clients, sponsors, local authorities and

other key stakeholders choose to work with organisations that have implemented the standard.

ISO 50001

What is ISO 50001?

ISO 50001 is the new international standard for energy management. It parallels and complements ISO

9001 for quality management, and ISO 14001 for environmental management. ISO 50001 was published in

June 2011.

What energy use goals does ISO 50001 include?

ISO 50001 does NOT include energy use goals. ISO 50001 simply ensures that you have a credible and

effective management process in place to reach your energy use goals. You set your own goals in

accordance with your own requirements and vision.

What kinds of organizations might benefit from an ISO 50001 energy management system?

Any organization that uses energy can benefit from implementing an energy management system.

Manufacturers, IT operations, airports, heavy equipment operations, food processors, and chemical and

pharmaceutical plants are just a few of the candidates that would most benefit from an ISO 50001 energy

management system. The greater your energy use, the more you will benefit.

How does one use ISO 50001?

An ISO 50001 energy management system enables you to systematically set and reach your organization's

energy use goals, wherever you choose to set them, and realize the energy cost savings. In addition, many

government and utility energy programs require that an effective Energy Management System (EnMS) be

put in place to qualify for program benefits. An ISO 50001 EnMS will become the universally accepted

standard.

Are there any other benefits to developing an ISO 50001 energy management system?

There are many benefits to developing and implementing an ISO 50001 energy management system.

Among them are:

o Reduced energy consumption as projects are implemented;

o Controlled energy costs as energy use is reduced;

o Improved O&M as equipment use declines or is throttled back, and energy monitoring yields

performance information;

o Decreased environmental impact from waste;

o Preparation for emissions tracking and reporting regimes;

o Public credibility for energy consciousness;

o An engaged and aware workforce as workers are drawn into the energy management process, resulting

in decreased recruitment costs.

What does it take to develop an ISO 50001 Energy Management System?

This varies depending upon the kind of processes being managed, the scope of the plan, the variety of

energy sources used, and whether or not an organization already has some other ISO plan and mechanisms

in place. In broad terms, however, an ISO 50001 EnMS takes 12 to 18 months to develop and implement. It

requires an internal 'Energy Leader' and a small team of employees to develop the system, and set it in

motion.
