Project Profile

Your Assignment is based on the project that is described in the following sections and the information provided to you during your weekly classes.

Your assignment is based on a totally fictional organisation called NIA (New Intelligent Applications) Pty Ltd. Any resemblance to any current or past businesses is not intentional.

NIA is a growing project management consultancy business specialising in providing project management services to government departments and commercial clients, Australia-wide.

You are an independant Networking Company who is tendering for this Project which will involve Risk Management. You report directly to the NIA board of directors, the Senior Manager there just happens to be the first cousin and close friend of another rival Networking contractor.

You have never had a good working relationship with this company. You have always felt the company is incompetent and makes too many fundamental mistakes. (In business, there is no such thing as mistakes, only learning. So even if our company feels that way, for sure there is something we can benefit from the project)

NIA is expanding and moving their head office into new premises in the heart of the Melbourne CBD. Everybody is excited about the move except for one of directors who believes that NIA should stay in Sydney as he feels there are many more opportunities there. Also, NIA’s major client that is based in Sydney has expressed some concerns about how this move will effect the outstanding service levels NIA currently provides to them. Some of NIA’s equipment suppliers that are based in Sydney and Brisbane have also expressed some concerns about the move.

(With NIA’s clients, moving of head office shall not compromise the service levels delivered to them most especially they are considered the major client. With regards to equipment supplier, it could be a little bit of a hassle to them most especially in servicing the equipments. In that case, there could be some special arrangements like charging NIA for the transport fee.

One of NIA’s major competitors, Monster Corp Ltd (another fictional organisation), has learned about NIA’s plans and has also begun quickly increasing their presence in Melbourne. They have started an intense campaign to recruit the best consultants available in Melbourne. They have also started headhunting aggressively for high quality staff. (The

Page 4: Sim 1 Project Design Brief

marketing department of NIA shall make a move in this regard. Advertising is way more easier these days with the help of internet and different social networking sites. The HR department shall also start headhunting and make sure they will be trained to abide the standards of the company.)

The new NIA Head Office will be located on Collins Street, Melbourne. They will be on the 13th Floor of a new 50 storey office building. They will have one entire floor to themselves that will be comprised of 1,000 square metres. There are no partitions on the floor at all. As a minimum, the Building Superintendant requires all wiring plans to be approved by his Building Engineer before wiring commences. The building has security guards controlling the Ground Floor entry to the building. There are only 6 parking spots available underground for NIA use.

NIA is very aggressive and always looking to expand and increase its market share. It has a young board that comprises of 5 directors. The Chairman and the Managing Director are brothers from a Russian background. They started the business from the lounge room of their parents’ home.

The Managing Director takes a hands-on approach to running all aspects of the business. He has 5 General Managers directly reporting to him. The General Managers totally reflect the Managing Director’s hands-on approach. They reward achievers and don’t tolerate incompetence. They are all risk takers, but don’t like losing. You also have a strong feeling that they do not totally respect the Risk Management discipline; they are only doing it because everyone else is doing it. (Some will win, some will lose, but in the end, it’s learning that makes losing beneficial.)

NIA have decided to implement a new information system to keep them at the cutting edge. The new system is required to be fully functional within 15 months from project commencement today. However, the Managing Director wants it within 12 months or sooner. He feels that the new system will allow NIA to win some bigger clients sooner. He has offered the successful project team, including the project manager, a bonus for completing the project within 12 months. The bonus will be on top of the regular annual bonuses the company provides to staff and will comprise of 25% of the team members’ annual salaries. The bonus will increase by 5% for every month the project is completed earlier than his 12 month objective.

NIA has very strict project management procedures. It is a company requirement that Microsoft Project be used for the management of all internal and external projects.

NIA does not like to outsource any of their work. Usually, they like to use all internal resources to complete all their projects. But their last project in Adelaide was a complete failure so, as an absolute last result, this time will they are hiring external consultants or contractors.

Essential parts of their project management procedures include: using metrics to measure the performance of their projects, and regular status

reports. The metrics and status reports are reviewed by the Project Boards and all senior management.

NIA will have three office locations:NIA will have three office locations:

Single-floor office in Sydney (current Head Office)

Single-floor office in Canberra

Single-floor Melbourne office (planned new Multi-Level Head Office)

Sydney and Canberra offices have just been upgraded to the latest network infrastructure:

Cisco routers and switches and Cat 6 horizontal cable and fibre backbone cable

15 personnel in each of these locations

NIA has won a number of major contracts and expecting to better position itself to win many more lucrative contracts in Melbourne. NIA’s major competitors are also based in Melbourne and for the same reasons. Consequently, NIA is planning to move their Head Office from Sydney to Melbourne.

The Melbourne office will initially house 20 staff increasing to 40 within the next two years. The Chairman, the Managing Director, the Finance Department, Marketing and New Business Development will all move to Melbourne from Sydney.
