    The e-Business era has often resulted in companies having extremely complex IT landscapes. This includes information, applications, and services such as:

    Applications: previously, information stored in transaction systems such as CRM and ERP (for example, SAP R/3 Enterprise) and in legacy applications, could only be used in the context of this solution. If this data can be used in context in different applications, the efficiency of users is increased.

    Data warehouse systems: an increase in the amount and complexity of information makes it increasingly difficult for users to find in data warehouses the data and reports they need to make decisions.

    Internet and intranet: the Web has become one of the most important sources of information for employees. One of the challenges is to replace the traditional ways of accessing and using information available in the Web by intelligently integrating the Internet in other enterprise systems.

    Unstructured documents: it is often a particularly time consuming task to manage, maintain, and find texts, e-mails, CAD drawings, and other unstructured documents and content.

    Users need access to the various services to perform their tasks. Access is usually through special programs on the desktop and different logons.

    The main purpose of an enterprise portal is to make it quicker and easier for employees to access important information, applications, and services. The target group is not limited to the employees of a company - with an external portal you can also reach business partners, customers, or any interested parties.

    SAP has been a portal provider for a number of years and the mySAP Enterprise Portal solution belongs to the latest generation of enterprise portals.

    System integration: iViews are small applications that deliver the most up-to-date role-specific content without users having to request this information. In this way, a large number of iViews provide you with access to the various systems at your organization. Users can use drag&relate (unification) to work seamlessly with information from various sources. Users can simply click on an object and drag it onto another object to trigger certain functions.

    Business Intelligence: mySAP Business Intelligence is a powerful solution for strategic enterprise management that you can integrate seamlessly in the portal infrastructure. Modern drag&relate functions enable data to be used in context across the entire portal.

    Intranet and Internet: open standard interfaces enable you to integrate any external sources from the intranet and Internet with ease. Collaboration with Yahoo! enables access to enterprise-specific, formatted information.

    Knowledge Management: this solution is an integral part of the portal and it is used to place unstructured data in context and to make this information available to all users. The Knowledge Management solution facilitates the finding, exchanging, and processing of unstructured information.

    The mySAP Enterprise Portal solution belongs to the software component SAP Enterprise Portal. SAP Enterprise Portal 6.0 was first delivered in October 2001 (ramp-up start).

    Knowledge Management (KM) is a central component of the Enterprise Portal. The open architecture allows you to group unstructured content from diverse sources and organize it clearly for users. KM comprises the following areas:

    Content Management: supports the entire lifecycle of documents (including create >> approve >> publish >> find >> read >> comment on >> archive)

    Retrieval and Classification (TREX): full-text search for various text documents and their classification (for example in the hierarchy, under End User Documentation >> Employee Self-Service >> Leave Request)

    Collaboration: simplifies (synchronous and asynchronous) communication between employees and teams (provide author with feedback, evaluate documents, start discussions) Furthermore, you can integrate further tools (such as the SAP Collaboration Room or products from third-party providers) to facilitate collaboration.

    Regardless of where documents are stored, users access these documents using a user-friendly interface that they can also modify.

    Content Management includes a variety of connectors (also called repository managers) that make it possible to connect to diverse data sources. Supported products and protocols include SAP Knowledge Warehouse (SAP KW), SAP CRM (such as brochures), file server, Web server, WebDAV server, XML documents, groupware products such as Microsoft Exchange and Lotus Notes, and document management products from third-party providers such as Documentum.

    The Enterprise Portal provides a central point of access for allapplications and all systems.

    Only one portal is required for all applications and users. Provides more than just access to all systems:

    Content Management (store internal documents, make groups accessible)

    Set up Collaboration Roomsfor work groups for a particular project

    Incorporate screen areas from many different systems into one page

    Summary: mySAP Enterprise Portal offers a central point of access for all applications, business intelligence functions, documents and Web services in a company. Users play a central role. They can draw on information from various sources and work together with internal and external colleagues. Furthermore, each portal is organized in such a way that it provides an optimized work environment that enables users to recognize business opportunities quickly and solve problems. In short, the portal is a user-oriented platform for enterprises and their business partners.

    The following presents several components that form the technical foundation of the entire mySAP.com e-business platform. The SAP Web Application Server (SAP Web AS), the further development of SAP Basis, is of central importance. The SAP Web AS provides Web services based on open standards. In addition to numerous SAP software components for business applications, the following components also use the SAP Web AS:

    Portal infrastructure, which ensures user-oriented integration and collaboration as well as including individual employees in processes

    Web Dynpro technology, which allows a flexible (irrespective of output medium) and user-friendly user interface for the business logic (in ABAP, Java, .Net)

    Exchange infrastructure, which ensures process-oriented integration and collaboration and universal business processes

    Technical aspects of the SAP Enterprise Portal software component include:

    The core functions are written in Java. To provide the SAP Web AS with the SAP J2EE Engine, a J2EE runtime environment is required.

    The architecture is completely open. The standards that are supported include SOAP, UDDI, JCA, JAAS, LDAP, X.509, XML, and ICE.

    The portal has powerful security functions and supports LDAP, digital certificates, and the SSL (secure socket layer) protocol.

    The portal lends itself to being scaled in such a way that it can support a high number of users.

    A current problem in many enterprises is that the end user is confronted with an abundance of contrasting interfaces for various applications that all function in a different manner.

    The Enterprise Portal displays information from several sources (R/3 Systems) on one page. The use only needs to log on once to the Enterprise Portal. If a user and password for the other background systems is saved in the Enterprise Portal for each user, or if the Enterprise Portal has a "Trusted Systems Link" to the systems, then the Enterprise Portal performs all other logons.

    Steps for starting the EP:

    On the client side, that is, from the user's perspective, the Enterprise Portal runs in an Internet browser. You can use Microsoft Internet Explorer or Netscape Navigator.

    You use an Internet address (URL) to call the Enterprise Portal server. As soon as you have connected to the server, it asks for your user name and password.

    After you have entered this information, you are logged onto the Enterprise Portal.

    The layout of the Enterprise Portal comprises two main elements:

    Navigation area

    Work area The navigation area is divided into a top-level navigation area in the first two rows

    and a detailed navigation area called the iPanel, which can be found on the left of the screen. The top-level navigation area comprises a two-level hierarchy. First-level navigation is used to define a

    subject area. When you select a subject area from here, the pages that are available are displayed in the second-level navigation area. When you select a page in the second-level navigation area, this page is displayed in the work area.

    The work area can contain various iViews or can consist of only one iView. An iView refers to a window that is displayed on the page. This window contains the required

    information. You can maximize or minimize an iView. An iView is the smallest unit. You can define information that is to be displayed for each iView.

    An administrator can then put the iViews together in displayable pages, such as in the above example.

    Portal Content

    The extended navigation options allow users to revisit links using the breadcrumb path. This navigation option is similar to the history function of the browser. You can also display the path by choosing the History button. The current page is always displayed in bold. This function is optional and can be activated or deactivated in the EU (end user) role.

    You should not use the browser navigation options to navigate in the portal. This is why the options Back and Forward are also available in the portal. This ensures that you do not lose the context when you navigate in the portal.

    In the header row, you can also choose from any of the options available for a page in the portal. The button is located on the far right.

    The "Add to Favorites" option enables you to add the current page to the list of favorites for your browser. This enables you to navigate easily between pages.

    iView functions

    You can personalize the portal in different ways:

    The portal administrator defines which content is assigned to the various roles in the portal. The content that is assigned to a particular role dictates how a user navigates to particular functions (iViews displayed on pages).

    If the portal administrator has given the user sufficient authorization, the user can arrange his or her role-based content as desired. The user can define the layout of the individual pages and dictate which iViews are displayed on the pages and in which sequence.

    When the user logs on, the portal determines the language that has been set in the Web browser. However, the users can override this setting. The Platform Availability Matrix (PAM) lists the Web browsers and languages that are currently supported. You can find this information for each SAP Enterprise Portal release on SAP Service Marketplace using the alias /ep.

    The user can also select a portal design that dictates properties such as the font size, color, and background graphics. Various SAP designs are available including one with optimized contrast for use with a projector. Various tools enable portal administrators to define the overall look and feel of the Enterprise Portal. In this way, they can create a user-friendly, role-based navigation structure and incorporate the enterprise's corporate identity.

    The following basic options are available in all iViews:

    Maximize: enlarges the size of the iView to the size defined as standard.

    Minimize: collapses the iView so that only the header row is visible.

    Refresh: loads the content of the iView again without accessing the cache data.

    Remove from Page: removes the iView permanently from the page. Whether or not this option is active depends on the settings made by the administrator for this iView.

    Personalize: if the iView includes options that can be set up by the user, the options are displayed in a separate window. The user can make the individual settings in this popup. The options that are available are defined when the iView is programmed and these options vary greatly depending on the content of the particular iView.

    To select the language in which text is to be displayed or to influence the colors used in the portal, choose "Personalize" in the header area of the portal. (1)

    A new input template is displayed in which you can determine the language and the appearance of the portal (2).

    To implement the settings, choose Apply (3). Note:

    The language can be configured at several places in the system. Several notes are relevant here, particularly in the context of ESS and MSS. The language can be configured as:

    Language in the browser settings, for example, in Internet Explorer

    The portal language for the portal user

    The user language on the backend (SU01) The communication language in IT0002 of the linked personnel number

    Similarly to the iViews, an icon exists for each page. The icon is displayed in the content area at the top right of the screen.

    There are two areas available for personalizing the pages:

    Content = Determine the page content

    Layout = Determine the layout of the content (iViews) on a page. In the Content area, you can select the available iViews that are to be displayed on this page.

    To implement the settings, click the "Apply"button. To determine the layout of the page, you select one of the options available in the pull-down menu in

    step one. For example, you can decide whether the page is to be structured in one or two columns.

    These are just two of the designs you can choose for your user in the portal. At the push of a button, EP users can compile their own layout of pages and adjust the design of the

    Business packages = building block system

    Business packages depict a system of "building blocks" in which customers can select content to suit their individual needs.

    You can download these building blocks in the form of business packages from the Internet and install them in the portal.

    A business package contains all services (iViews) and the navigation options (role) required for the selected function.

    Each business package has its own release cycle and you can install it independently from other business packages. In most cases, all you need to do is install a general business package on which the specific business packages are based.

    You can choose from a wide variety of business packages. The business packages that are currently available are listed in the appendix.

    In addition to making settings in the Enterprise Portal, you must also set up communication with the R/3 System. This is explained in more detail in the technology unit.

    Objects are stored here in folders. The folder structures are completely independent from the structures in roles and worksets.

    Portal Content Portfolio

    The Portal Content Portfolio provides a central marketplace for portal content. The Content Catalog comprises the portal content that is currently available. SAP portal content is

    organized in business packages for specific user groups. Registered users can download these business packages directly from the Portal Content Portfolio and implement them in the SAP Enterprise Portal.

    Business packages enable you to create portals without the need for additional programming. They comprise Portal content that is preconfigured and geared to certain user profiles: Role-based functions and processes that are available to all users in the entire value-added chain. Business Packages cover a large part of the content required for a particular task.

    One area is for developers of portal content. Developers can download the Portal Development Kit (PDK) from this area. The PDK contains documentation, examples, and templates, as well as a text environment and wizards for creating iViews. Technical data, an area for frequently asked questions (FAQs), and a discussion forum complete the offering for developers.

    SAP provides open interfaces and tools to enable customers and partners to create their own iViews. Partners can use the iViewStudio to offer interested users the content they have developed themselves.

    The Software Deployment Manager is part of the J2EE installation (for example, under: D:\usr\sap\E6T\JC00\SDM\program\RemoteGui.bat).

    The system administrator can use this manager to import Web Dynpro applications into the Web Dynpro runtime environment and into the Enterprise Portal.

    The BPs for ESS and MSS are currently delivered as *.sca files. These must be deployed by the system administrator using the SDM.

    You then find the roles, worksets, pages, and iViews as usual in the PCD (Portal Content Directory). All that is left to do is assign the new role to the prepared user group.

    The above diagram shows you the structure in more detail. Let us start with the user. The user is assigned to a user group in the portal. The business package has been imported into the portal. The business package comprises roles at the highest level, followed by worksets. The worksets contain

    the individual pages and the iViews that have been defined for these pages. After the new role has been assigned to a user group, users can access all the worksets, pages, and

    iViews included in the role.

    The new role must be assigned to a user group. Administrators only are authorized to assign the new role to a user group. Choose System Administration Roles. Choose the user group to which the role is to be assigned. You then select the role and assign it to the user group by choosing "Add".

After you log on to the portal for the first time, you are prompted to change your password. Enter your old password as the new password: HR255-## (## denotes your group number).     3 Personalize the Enterprise Portal according to your requirements Personalize Portal: The Personalize link is displayed in the top right corner. Click on this link. Here you can determine the portal language and design. Select the language [the training language] and choose Save. Choose the design you want for the portal and choose Save. The language and design you have chosen are now displayed. Personalize iView: Personalize the Homepage -> Portal Information page by removing an iView from the page.     As of SAP ECC 5.0, a new version of the Employee Self-Service (ESS) component is available, containing redesigned user interfaces.

    These user interfaces are based on Web Dynpro for Java (SAP NetWeaver 2004) and run in the SAP Enterprise Portal.

    The services in R/3 Enterprise were based on ITS services. If you already use the Employee Self-Service component, we strongly recommend that you upgrade to

    the new version. The old, ITS-based version should be used only transitionally with SAP ECC 5.0.

    SAP NetWeaver 04s no longer supports the standalone ITS version (max. 6.20). Therefore all ITS-based ESS services based on the standalone ITSare no longer supported.     on the internal ITS. ESS services that are not available on Web Dynpro in ERP 6.0 will be

    The Address Book (Who's Who) is an ESS service that is used for finding an employee within the company organization and allows employees to change their own communication and office data. It is similar to an address book and is used for contacting people within the organization. It provides integrated access to other functions such as telephony, mail, organizational chart, and so on, to make the search more effective and flexible. The employee is able to see certain detailed information of the sought colleagues, along with their organizational assignments.

    As of ERP 2005, you can access the "change own communication and office data" directly from the Address Book (Who's Who).

    You can also select a person in the organizational chart to display more detailed information for that person.

    The following Employee Self-Service applications for Time Management are available using the new technology, and have some functions that users frequently require:

    The "Working Time" category contains the following services: The Cross-Application Time Sheet (CATS) enables working times to be recorded locally.

    Employees can use the time sheet to record their own working times and assign various account assignment objects (such as an order or cost center).

    Employees can display a worklist. They can also enter times or simplify data entry by copying existing time entries. They can save the time sheet and release the working times for approval.

    The time sheet automatically calculates the weekly working time on the basis of clock times. Employees can check which absence times are available to them and then request leave.

    The request is forwarded to the responsible supervisor for approval.

    Employees receive e-mail notification as to whether the request was approved or rejected. (This service uses SAP Business Workflow and Office Inbox functions.)

    In addition, employees can cancel a leave request that has already been approved. Employees can display an overview of their current absence entitlements in their time accounts. They

    can run various checks, for example, on their remaining or approved absence times. Employees can display their working time balance. They can check how many hours they worked in the

    current or past payroll periods. Employees can display their current work schedules.

    Leave request

    Your employees can use the Leave Request ESS applicationto submit a request for leave or notify their superior that they will be absent for a particular period (due to illness, for example).

    The Web Dynpro version of the ESS application includes the functions of the leave overview, which was a separate application in previous releases.

    Your employees can now use the same view to submit a new leave request, display an overview of their requests and leave to date, and cancel requeststhey have already submitted.

    The new version also contains a team calendar, which enables youremployees to check whether cover has been arranged for them during a particular leave period, for example.

    Employees can display their current salary statement or previous ones. Employees can display an overview of their awards, and can exercise them. This triggers a workflow to

    inform the responsible HR administrator that an employee is exercising his or her award. Employees can display their total compensation statement. Employees can request a report about the details of their work contract and/or salary. Users can choose

    between a fax or a letter. The request is forwarded to and answered by the HR administrator. This services is tailored to the U.S., but can also be applied to other countries.

The future strategy within SAP regarding tools supporting Life and Work Events (L&Ws) is Guided Procedures. This means that all existing ESS L&W Events based on L&W Builder or ITS R/3 table customizing are replaced by using the Guided procedures tool.

    Please take into account SAP only delivers examples of Life and Work Events. The following 7 predefined Life and Work Events based on Guided Procedures are available: My First Day In the My First Days L&W, employees can navigate step-by-step through personal, payroll and benefits

    information, etc. to enter data and complete forms related to starting a new job.
