Introduction
Introduction
Multi-facility setup allows you to define a Nested Operational Structure for a company,
where the definition of multiple divisions, DCs, and facilities can be made.
Transactions for all of the warehouses are held on an individual schema, while
company wide data is held at an Enterprise level. Information that is set up the
Enterprise level is automatically filtered down into the warehouse level. This process
prevents you from having to set up duplicate data for multiple facilities. Once thecompany information is established at the Enterprise level, warehouse specific data
can be defined at the warehouse level.
Multi-facility processing provides the following benefits:
Allows a four-level structure for a company:
Company
Division
DC
Warehouse
Each warehouse is an individual schema within the application. TheEnterprise sits on top of all the levels, and information is filtered down to the
lower levels, which prevents you from having to manually enter duplicate
data.
Provides visibility into the entire inventory across multiple sites.
Allows Warehouse Transfers in which associates can transfer Commodities
from one warehouse to another.

Multi-facility Hierarchy
Multi-facility Hierarchy
The hierarchy of Multi-facility refers to the layout of a maximum of four operational
levels that can be defined for an organization. At least two levels must be defined for a
Multi-facility operation to run on SSA Warehouse Management 4000: Company and
Warehouse. The configuration of the hierarchy determines the grouping of information
throughout the system. The four hierarchy levels are:
Company
Division
Distribution Center
Warehouse
CompanyThe highest (broadest) level or grouping of an organization.
DivisionThe second highest level or grouping of an organization. A Division is typically
composed of one or multiple Distribution Centers and focuses on a particular area of
the companys business.
Distribution CenterA Distribution Center (DC) is composed of one or multiple warehouses, and supplies
those warehouses with inventory.
WarehouseThe lowest level of a company structure. This can be a logical or physical entity.

Multi-facility Processing
To accommodate Multi-facility processing, you must select a schema level from the
Database Connection box when logging into SSA Warehouse Management 4000,
such as Enterprise or Warehouse. This selection allows you to either log into the
Enterprise level or the warehouse level. Refer to the following example.

Once you are logged into the application, the selected schema is shown in the upper
screen toolbar, such as Enterprise Level, Warehouse Level, and so on. Refer to the
example below.

Note
When you log into the Enterprise level, the SSA Warehouse Management 4000 menu selection options are smaller because it displays only the
functionality options that can be set up at the Enterprise Level.
When you are logged in at the Warehouse level, additional menu options
display.

Chapter
4Warehouse TransfersWarehouse Transfer functionality allows associates to transfer inventory from one
facility to another, while maintaining visibility of the total inventory at the Enterprise
level. The transfer creates a link between the Transfer Order in one warehouse, and
an ASN in the second warehouse. Shipping Transfer Orders creates In Transit
inventory, which is visible at the Enterprise level.

Performing Warehouse Transfers
The Warehouse Transfer functionality is not available if you have set the System
Setting ERP Installed to On. Make sure the flag is Off.
System Setting Screen
1. Navigate to System Administration Configure System Settings. TheSystem Settings screen displays with the following columns:
Key - Code identifying the flag within the system, for example,
ERPINTERFACE
Description - Text describing the flag, including its default setting
On - Toggles the system flag setting On orOff
Value - Current setting, usually 1 forOn and 0 forOff
Default - Value to which the system defaults if not manually changed
Effective Instance in which the setting becomes effective. The effect is
immediate upon saving the record.
2. In the ERPINTERFACE record, verify that the On box is not checked. If it is,
do the following:
1. Right-click and select Modify Mode if necessary.
2. Click the On box to clear it.
3. Right-click and select Save.
4. Close the screen.

Toggling Between Facilities1. To connect to the warehouse, select Switch Facility from the File menu.
2. Navigate to Warehouse DocumentsWarehouse Transfer. TheTransfer Orderscreen displays.
3. Right-click and selectAdd New Record . The Transfer Order: (New) screen
displays.

Note
A system-generated Transfer Order number is automatically created in the
TO Numberfield. This number can be changed to a unique, non-
sequential value (for example, add a letter or name). If the number is
changed to a sequential number that has not yet been used by the
system, it can later cause duplication errors, resulting in system
termination.
4. In the Storerfield, type the name of the Storer that is selling the product. Or,
right-click and select Lookup Valuesfor Storer, and select the Storer.
5. From the drop-down menu in the To Warehouse field, select the warehouse
where the inventory is being sent.6. The Order Type and Order Handling Type fields are pre-populated with
appropriate values for a standard Transfer Order. If necessary, these fields
can be changed by selecting another value from the corresponding drop-down
menu.

Note
The Order Processing Status field is pre-populated and updated by SSAWarehouse Management 4000. This field cannot be changed.
7. If applicable, fill in the remaining (optional) Transfer Order header fields.
These fields are not required to save the record, but they do depend on the
warehouse business operation. Refer to Multi-facility Field Definitions for more
information about these fields.
8. In the Detail List, type the Commodity code for the first detail line in the
Commodity field, and then press Tab. Or, right-click and choose Lookup
Values for Commodi ty, and select the Commodity.
9. To select a different pack code than what displays for the Commodity, from the
drop-down list in the Pack field, make another selection.
10. To use a different UOM, right-click and choose Lookup Values for Pack; then
select the Pack.
11. In the Open Qty field, type the quantity you are transferring.
12. Right-click and select Save.
Notes
The Receipt Key and Inter-facility Transferfields are
automatically populated when you click Save.
Receipt Key = ASN number automatically created for the facilityreceiving the inventory.
Inter-facility Transfer Key = Reference number for the link
between the ASN and the Transfer Order, which is created at the
Enterprise Level.
The next step in the Transfer Order process is to allocate, or
release the order to create pick tasks for the inventory you are
sending. For additional information about allocating and shipping
orders, refer to the SSA Warehouse Management 4000Order
Processing User Guide andthe SSA Warehouse Management
4000Shipping User Guide.
The Order Status history allows you to track and view the status
history of Transfer Orders as they move through different stages
within the warehouse. For additional information on viewing Order
Status history, refer to the SSA Warehouse Management 4000
Order Processing User Guide, Shipment Orders.

Viewing Inventory Transfers BetweenWarehousesThe Inter-facility Transferscreen is used to view details for inventory transfers between
facilities. This screen is only available at the Enterprise Level.
1. From the File menu, select Switch Facility to connect to the Enterprise Level.
2. Navigate to Warehouse DocumentsWarehouse Transfer Inquiry. TheWarehouse Transfer Inquiry screen displays.
3. Enter the search criteria in the appropriate field(s), then right-click and select
Apply Search . The List Tab displays.
Note
If only one record is returned from the search criteria, the record displays in
Form view.

5Multi-Facility ProcessingViewing Inventory Balances for Multi-facilitiesThe Inventory Balances screen, at the Enterprise Level, allows you to view total
inventory balances across all facilities for a company.
1. Navigate to Warehouse Inventory Multi-facility Balances. TheInventory Balances screen displays.
2. From the Navigation menu, double-click a company to display the level(s)
associated with that company.

3. To view inventory balances for the facility, click the Inventory icon.

Note
Inventory that has been transferred from one warehouse to anotherdisplays in the In Transit column. This inventory can only be viewed at the
Enterprise level, and remains In Transit until it is received at the other
warehouse.
In those instances where the quantity received on a linked ASN for a Warehouse
Transfer is different from the quantity expected, the system adjusts the In-Transit
inventory for the Commodity at the Enterprise level:
If an over-receipt is made, the In-Transit amount is adjusted to zero.
If an under-receipt is made, the In-Transit inventory is adjusted accordingly,
and to zero only when the ASN is completed.For additional information on receiving inventory, refer to the SSA Warehouse
